Executive Assistant (Spanish Speaking)

Hours: 2pm -12:00am South African Time

We are seeking a highly organized and proactive Executive Assistant to join our remote team. This position plays a vital role in supporting our daily operations, ensuring excellent customer service, and maintaining administrative efficiency. The ideal candidate will have at least 1 year of administrative experience, strong communication skills in English (Spanish is a plus), and availability during New York business hours (8 AM-  6 PM, Monday to Friday US time), with occasional Sunday availability as needed.

Key Responsibilities:

  • Provide comprehensive administrative support to ensure smooth day-to-day operations.
  • Schedule and coordinate service appointments.
  • Manage emails, calls, and internal messages professionally and efficiently.
  • Serve as the primary point of contact for customer inquiries, delivering exceptional service in clear and professional English.
  • Use G Suite (Gmail, Calendar, Drive, Docs, Sheets, Slides) for daily administrative tasks.
  • Assist with basic bookkeeping tasks, including invoicing and payroll support.
  • Maintain accurate customer and vendor records.
  • Prepare reports, presentations, and internal documents.
  • Collaborate with the team using tools like Slack, WhatsApp, ClickUp, or Asana.
  • Follow and improve internal procedures and workflows.
  • Manage vendor communication and process invoices.
  • Support CRM updates and general data management.
  • Perform other administrative duties as assigned.

Requirements:

  • Minimum 1 year of administrative experience, preferably in a service-based environment.
  • Strong working knowledge of G Suite applications.
  • Excellent verbal and written English communication skills.
  • Fluency in Spanish is a strong advantage.
  • Familiarity with Jobber and QuickBooks is preferred.
  • Experience with payroll processing is a plus.
  • Proficiency with collaboration tools such as WhatsApp, Slack, ClickUp, Asana, or similar.
  • Strong organizational and time-management skills.
  • High attention to detail and ability to manage multiple tasks.
  • Tech-savvy and comfortable working with CRMs and other digital tools.
  • Professional, dependable, and able to work independently in a remote setting.
