Executive Assistant (Spanish Speaking)
Hours: 2pm -12:00am South African Time
We are seeking a highly organized and proactive Executive Assistant to join our remote team. This position plays a vital role in supporting our daily operations, ensuring excellent customer service, and maintaining administrative efficiency. The ideal candidate will have at least 1 year of administrative experience, strong communication skills in English (Spanish is a plus), and availability during New York business hours (8 AM- 6 PM, Monday to Friday US time), with occasional Sunday availability as needed.
Key Responsibilities:
- Provide comprehensive administrative support to ensure smooth day-to-day operations.
- Schedule and coordinate service appointments.
- Manage emails, calls, and internal messages professionally and efficiently.
- Serve as the primary point of contact for customer inquiries, delivering exceptional service in clear and professional English.
- Use G Suite (Gmail, Calendar, Drive, Docs, Sheets, Slides) for daily administrative tasks.
- Assist with basic bookkeeping tasks, including invoicing and payroll support.
- Maintain accurate customer and vendor records.
- Prepare reports, presentations, and internal documents.
- Collaborate with the team using tools like Slack, WhatsApp, ClickUp, or Asana.
- Follow and improve internal procedures and workflows.
- Manage vendor communication and process invoices.
- Support CRM updates and general data management.
- Perform other administrative duties as assigned.
Requirements:
- Minimum 1 year of administrative experience, preferably in a service-based environment.
- Strong working knowledge of G Suite applications.
- Excellent verbal and written English communication skills.
- Fluency in Spanish is a strong advantage.
- Familiarity with Jobber and QuickBooks is preferred.
- Experience with payroll processing is a plus.
- Proficiency with collaboration tools such as WhatsApp, Slack, ClickUp, Asana, or similar.
- Strong organizational and time-management skills.
- High attention to detail and ability to manage multiple tasks.
- Tech-savvy and comfortable working with CRMs and other digital tools.
- Professional, dependable, and able to work independently in a remote setting.
