Sales & Marketing Administrator

We're looking for a proactive and highly organized Sales & Marketing Administrator to support our sales team starting with dedicated support for the Sales Manager and eventually assisting other team members as well. This role is key to keeping the sales process moving smoothly by tracking leads, managing CRM updates, coordinating follow-ups, and handling client onboarding after deals are signed. You'll also assist with marketing efforts as needed, helping ensure no opportunity is missed and that every prospect and client receives timely, professional communication.

Key Responsibilities

Support for Sales Manager

  • Stay looped in on the Sales Managers sales outreach by being CCd on emails, and proactively manage follow-ups and CRM entries to keep the process moving smoothly
  • Enter all tasks, notes, and updates into Pipedrive
  • Document and track all leads and opportunities in the CRM
  • Hold daily (or more frequent) syncs with the Sales Manager to review updates, tasks, and follow-ups
  • Schedule meetings and demos for the Sales Manager (Use advanced internal support resources to cover
    demos when applicable)
  • Be on the phone for sales calls, taking notes for the sales team
  • Prepare and manage proposals with instruction from the Sales Manager
  • Manage process from signed deal through to first payroll
  • Discuss pricing and coordinate billing conversations with the Sales Manager
  • Escalate urgent or high priority matters to the Sales Manager as needed

Sales Admin Support (General)

  • Work with other salespeople as needed over time
  • Import and organize lead lists compiled by sales staff into Pipedrive
  • Ensure all deals and contacts are properly entered with complete notes and follow-ups
  • Export and share reports with management in a clear and organized format
  • Pull weekly KPI reports and pipeline activity summaries for the entire sales team and share
    with management
  • Track deal movement and ensure there are no overdue or stalled opportunities in Pipedrive

Marketing Support

  • Help with light marketing tasks as needed

  • Able to manage multiple moving parts without missing details and able to bring order to
    fast-moving environments
  • Proactive and accountable - someone who sees what needs to be done and gets it done
  • Willing to support evolving marketing and sales functions over time
  • Comfortable working independently and alongside a dynamic salesperson
