About the Role

Our US-based client is seeking a highly organized and client-focused Onboarding Specialist to join their growing team. This role is responsible for ensuring new clients experience a smooth, professional, and successful transition onto the company's payroll, HR, and workforce management platforms.

The ideal candidate is proactive, detail-oriented, and passionate about delivering exceptional customer experiences. You will act as the primary point of contact during the onboarding process, guiding clients through setup, training, and implementation while ensuring all information is collected accurately and deadlines are met.

Key Responsibilities

  • Serve as the primary point of contact for new clients throughout the onboarding process.
  • Coordinate and manage client onboarding projects from kickoff through successful completion.
  • Guide clients through payroll, HR, and workforce management system setup.
  • Collect, review, and validate client data to ensure accuracy and completeness.
  • Conduct onboarding and discovery calls to understand client requirements and business processes.
  • Configure client accounts and assist with system setup and customization.
  • Train clients on platform functionality, processes, and best practices.
  • Ensure all onboarding milestones and deadlines are achieved.
  • Provide regular updates and maintain proactive communication with clients.
  • Build strong client relationships and create a positive first impression of the company.
  • Maintain detailed onboarding records and documentation.
  • Collaborate with payroll, support, and customer success teams to ensure seamless client transitions.
  • Identify opportunities to enhance the onboarding experience and improve client satisfaction.

Requirements

  • 2–5 years of experience in client onboarding, implementation, customer success, account management, or project coordination.
  • Excellent verbal and written English communication skills.
  • Strong customer service and relationship-building abilities.
  • Exceptional organizational and time-management skills.
  • Ability to manage multiple onboarding projects simultaneously.
  • High attention to detail and accuracy.
  • Strong problem-solving and critical-thinking abilities.
  • Ability to work independently in a remote environment.
  • Comfortable handling confidential and sensitive client information.
  • Tech-savvy with the ability to quickly learn new software systems.

Preferred Experience

  • Experience working with payroll, HR, SaaS, or workforce management platforms.
  • Previous experience in onboarding, implementation, or customer success roles.
  • Familiarity with CRM systems and project management tools.
  • Experience supporting US-based clients is highly advantageous.
  • Knowledge of payroll, HR processes, or workforce management systems is beneficial.

This role follows US business hours and requires availability from:

3:00 PM – 12:00 AM South African Time
