Inspection Report Administrator (Part-Time)

Location: Remote (New York-based client, working South Africa hours)

Working Hours: Between 3 PM -11 PM SAST (Part-time, 15 hours per week)

Job Overview:
We are seeking a detail-oriented and tech-savvy Inspection Report Administrator to support a New York-based client. The ideal candidate will have strong administrative and document management skills, ensuring accurate and professional report formatting. This role requires someone with excellent English communication skills (written and spoken), proficiency in Microsoft Office, and the ability to work efficiently during evening hours.

Key Responsibilities:

  • Prepare and format inspection reports with a professional layout, including inserting images, location maps, and diagrams.
  • Ensure accuracy, consistency, and compliance with report requirements.
  • Utilize Microsoft Word and Excel to structure and present data effectively.
  • Manage document settings, templates, and formatting to maintain a high standard.
  • Proofread reports to correct any spelling, grammar, or formatting errors.
  • Organize and archive documents for easy access and retrieval.
  • Communicate with the client as needed to clarify or update report details.

Requirements:

  • Fluent in English (spoken and written) with excellent grammar and proofreading skills.
  • Proficiency in Microsoft Word, Excel, and document formatting tools.
  • Ability to work independently and meet deadlines.
  • Strong attention to detail and organizational skills.
  • Tech-savvy, with the ability to quickly learn and use reporting software if needed.
  • Comfortable working evening hours (3 PM 11 PM SAST).

Preferred Skills:

  • Experience with administrative support, compliance documentation, or inspection reports.
  • Basic knowledge of image editing (for inserting photos and diagrams into reports).
