Location: Sarnia, Ontario

Hours: Full-time, Monday to Friday, 9:00 am – 5:00 pm (flexibility required outside standard hours based on executive needs)
Reporting To: Chief Executive Officer
Travel: Travel between company locations required; occasional travel within Ontario
Role Summary
We are seeking a highly experienced Executive Assistant to provide high-level administrative, operational, and strategic support to the CEO. This role requires a professional who thrives in a fast-paced environment and demonstrates exceptional discretion, responsiveness, and execution.
This is a critical, high-impact role and a true partnership with the CEO. The successful candidate will act as a central point of coordination across executive leadership, board members and cross-functional teams.
Responsibilities
Executive Partnership & Strategic Support
- Serve as a trusted partner to the CEO, proactively managing priorities, anticipating needs, and ensuring focus on high-impact initiatives
- Act as a gatekeeper and facilitator, optimizing executive time, communications, and decision-making flow
- Drive alignment across leadership, ensuring priorities are clearly communicated and executed
- Prepare high-quality materials, presentations, and correspondence to support executive decision-making
- Maintain strict confidentiality across all senior management interactions
Operational Leadership & Execution Excellence
- Own and optimize executive operations, including calendar, inbox, communications, and workflow management
- Establish and maintain structured systems to track priorities, action items, and follow-ups
- Lead coordination and execution of key meetings with internal and external stakeholders
- Manage competing priorities with speed and precision in a high-demand environment
- Leverage tools and systems to improve productivity and operational efficiency
Stakeholder Management & Organizational Coordination
- Act as a central point of coordination across internal teams and external stakeholders
- Ensure seamless communication, follow-up, and alignment across all stakeholders
- Support and execute high-impact initiatives including executive engagements, events, and strategic projects
- Represent the CEO and organization with professionalism and strong relationship management
- Drive a high standard of responsiveness, accountability, and execution
Qualifications & Core Competencies
- 5+ years of experience supporting C-suite executives in an executive assistant function or a similar role
- Post-secondary education in Business Administration
- Advanced Microsoft Office Suites proficiency
- Expense, HRIS, Adobe, Google and CRM tools.
- Strong communication and relationship management skills
- Exceptional time management and prioritization abilities
- High attention to detail and execution discipline
- Proven ability to manage confidential information with integrity
- Ability to operate effectively in a fast-paced, high-growth environment
- Flexible and adaptable, including availability outside standard business hours
- Willingness to travel between locations as required
The Package
Annual Salary: $70,000 – $75,000 (based on experience)
