Role Summary
Our client is seeking a highly organized and detail-oriented Finished Goods Warehouse Officer to manage the day-to-day receipt, storage, inventory control, picking, loading, and dispatch of finished goods within the Finished Goods Warehouse.
The successful candidate will ensure accurate inventory records, timely product availability, efficient dispatch operations, proper warehouse organization, and compliance with company procedures, SAP requirements, safety standards, hygiene requirements, and applicable warehouse practices.
The role requires strong coordination with Production, Quality/QA, Supply Chain, Sales, Customer Service, Finance, distributors, customers, transporters, and other relevant stakeholders to ensure seamless finished goods operations.
Key Responsibilities
Finished Goods Receipt & Put-Away
- Receive finished goods from Production and verify quantities, product descriptions, batch numbers, packaging condition, and relevant documentation.
- Ensure finished goods are accurately recorded in SAP and that physical stock is aligned with system records.
- Identify and report shortages, overages, damages, quality concerns, or documentation discrepancies in line with approved procedures.
- Ensure finished goods are properly labelled, segregated, and stored in designated warehouse locations.
- Coordinate the timely movement of finished products from production areas into appropriate storage locations.
Inventory Management & Control
- Maintain accurate finished goods inventory records and ensure SAP records remain aligned with physical stock.
- Conduct timely cycle counts and participate in monthly, quarterly, and annual stock counts and audits.
- Investigate inventory variances and ensure approved adjustments are processed in accordance with the Delegation of Authority (DOA).
- Apply FIFO/FEFO principles, as applicable, during finished goods issuance and dispatch.
- Ensure expired, damaged, blocked, or non-conforming products are clearly identified, segregated, and stored in designated areas.
- Monitor ageing and time-sensitive inventory and escalate potential expiry, obsolescence, or slow-moving stock risks.
- Maintain proper documentation for stock movements, adjustments, returns, and reconciliations.
Order Picking, Loading & Dispatch
- Coordinate accurate and timely picking of finished goods against approved customer/distributor orders and dispatch documentation.
- Verify product type, quantity, batch number, and destination before loading.
- Coordinate with Customer Service, Sales, distributors, customers, and transporters to support timely deliveries.
- Ensure loading and dispatch activities are conducted safely and in accordance with company procedures.
- Maintain accurate dispatch documentation and submit relevant records to the appropriate functions.
- Monitor loading activities to minimize product damage, dispatch errors, and delivery delays.
- Escalate dispatch constraints, stock shortages, or operational issues that may affect customer deliveries.
Warehouse Space, Equipment & Security
- Optimize warehouse space and maintain safe, orderly, and efficient stacking arrangements.
- Ensure pallets, racks, aisles, and other warehouse storage equipment are properly used and maintained.
- Maintain adequate security and controlled access to finished goods stock.
- Ensure material-handling equipment is used efficiently and only by authorized or appropriately certified personnel.
- Report forklift, pallet, rack, or other equipment defects and coordinate maintenance requirements with the responsible function.
- Ensure warehouse layouts and storage locations support efficient product movement and accessibility.
Housekeeping, Hygiene, Safety & Compliance
- Maintain a clean, organized, and hazard-free Finished Goods Warehouse, including racks, aisles, storage, and loading areas.
- Ensure warehouse personnel comply with applicable PPE, health, safety, hygiene, and security requirements.
- Ensure finished goods are stored under appropriate conditions to protect product quality and integrity.
- Follow company SOPs, GMP/Food Safety requirements, and applicable warehouse procedures.
- Promote safe working practices and immediately escalate hazards, incidents, or unsafe conditions.
- Support the closure of audit findings and ensure corrective actions relating to warehouse operations are implemented on time.
Team Supervision & Development
- Supervise, allocate, and monitor the daily activities of FG warehouse personnel and warehouse operators.
- Conduct regular team briefings and communicate daily priorities, safety requirements, and operational expectations.
- Train, coach, and develop warehouse personnel on SOPs, inventory control, picking, dispatch, safety, and good warehouse practices.
- Monitor attendance, productivity, discipline, and work quality and escalate performance concerns where necessary.
- Ensure team members are appropriately dressed and use the required PPE and safety equipment.
- Promote accountability, teamwork, discipline, and operational efficiency within the warehouse team.
Reporting & Documentation
- Prepare and maintain accurate warehouse reports covering inventory, receipts, dispatches, stock variances, ageing, and operational performance.
- Maintain accurate records of finished goods receipts, movements, picking, loading, dispatch, stock counts, damages, and adjustments.
- Ensure SAP transactions and warehouse documentation are completed accurately and on time.
- Provide required information and documentation for internal and external audits.
- Escalate operational risks, inventory discrepancies, customer service issues, and potential supply or delivery constraints promptly.
Continuous Improvement
- Identify opportunities to improve warehouse productivity, space utilization, inventory accuracy, and cost efficiency.
- Support initiatives aimed at reducing stock losses, product damage, dispatch errors, and operational delays.
- Analyze recurring warehouse issues and recommend practical corrective actions.
- Support implementation of approved process improvements and monitor their effectiveness.
- Promote efficient use of warehouse resources, equipment, and manpower.
Educational Qualification
- Minimum of a Bachelor's Degree in Logistics, Warehousing, Supply Chain, Business Administration, or a related discipline.
- Relevant certification in warehouse management, inventory management, logistics, or supply chain is an advantage.
Experience
- Minimum of 5 years' relevant experience in manufacturing, warehousing, supply chain logistics, or a related environment.
- Relevant experience managing or supporting Finished Goods Warehouse operations is required.
- Experience working within a structured manufacturing or FMCG environment is desirable.
- Experience supervising warehouse personnel or operators is an advantage.
- Practical experience with SAP/ERP-based inventory and warehouse transactions is required.
