MISSIONS
Provide regional sales and administrative support in compliance with quality, safety, environmental and radiation protection standards, with 4 main missions: ADVS Pacific, new & service sales support, office administrative support and support for our Sourcing activity.
· Sales support services for our Australian subsidiary:
o Draft sales proposals in the local ERP to be interfaced with the head office ERP in collaboration with the Pacific Service Manager.
o Assist in the analysis and collection of technical or process information to prepare bids (follow-up and reminders).
o Enter orders into ERP and track them.
o Participate in drafting the Customer Order Form for simple upgrades.
o Monitor the progress and preparation of orders in relation with all parties involved and inform customers of any hazards or delivery delays.
o Select appropriate means of transport and manage relations with carriers.
o Carry out export formalities according to the incoterm sold (customs in particular).
o Draw up delivery and billing documents.
o Resolve problems or disputes related to orders or deliveries.
o Follow-up with customers in the event of non-payment, with the support of the finance and sales departments.
o Inform customers of changes (range, prices, etc.).
o Find out about legislation, sales and shipping formalities.
· Asia Pacific regional new & service sales support:
o Enter contacts and customer information in the CRM tool for complete and efficient mapping.
o Promote prospecting: send mailings, follow-up phoning and assist sales representatives.
o Helping to organize and monitor events: trade shows, short courses, webinars, etc.
o Prospect and follow-up with customers.
o Follow up after-sales actions in support of the teams in charge of project execution.
o Coordination with agents and distributors to monitor contract updates.
· Administrative support for Asia-Pacific offices and subsidiaries:
o Ensure the administrative management of the various portage, representative and subsidiary offices in the region: follow-up of service and operating contracts, invoicing, closing documents, etc.
o Coordinate with our partners and consulting firms to ensure proper follow-up of: taxes, audits, tax returns, follow-up with local banks.
o Monitor employee contract renewals and leave.
· Support for our Sourcing & Competitiveness activity in Asia Pacific:
o Assist in interactions with our suppliers, particularly those in Vietnam.
o Assist with interactions with various head office departments.
QUALIFICATIONS & SKILLS
Education: University degree in admin or related fields
Experience: Minimum 2-3 years of higher education, at least 5 years' experience in office administration and sales support for Western companies in Vietnam and elsewhere, willingness to learn, organizational skills, rigor, customer service and team spirit.
Languages: Fluent in English, French and Vietnamese is a plus.
