I. Job Description

Recruitment & Selection

  • Manage recruitment to ensure that on time with efficiency as per business required
  • Administers the recruitment process
  • Lead in preparing Job Description, Requirement and Vacancy Announcement.
  • Coordinate over staff recruitment, selection, and new staff orientation.
  • Prepares the recruitment tools (advertisement, tests, etc.)
  • Preselects applications, prepares the schedule and structure of the recruitment process, and checks the references, sends rejection letters to non-selected candidates, and communicates their acceptance to the selected candidates
  • Coordinate the onboarding and orientation of new employees
  • Develop contract, agreement, and others necessary document
  • Prepare report for management (monthly Employee Master List, Monthly Attendance Report, Monthly Department Expense, Daily Weekly Monthly Recruitment Report, Laptop & Computer List Movement, and yearly staff turnover)
  • Perform other administrative tasks such as staff disciplinary action, staff movement, and fine out staff problems
  • Participate in organizing company events and careers days

Hiring And Induction Process

  • According to a Hiring and Induction Checklist ensures the induction procedure is being followed, coordinating with relevant departments or staff
  • Issues the Induction Training Checklist and ensures employee signs if relevant part of introduction successfully completed
  • Lead over staff IDs card issuing and Attendance Management (staff OT, Mission and leave records)
  • Informs new employee about the necessary documents to be submitted for the employment commencement and relevant documents (such as offer letter, contract, job description etc.) are signed
  • Update staff movement (resign, promote, change position, dismissal)

Staff Engagement

  • Organize staff and company events (birthday wishing card and celebration birthday monthly, annual staff and company trip etc.)
  • Newsletter update on special events such as birthday celebration, women day, company anniversary, a new staff, a new-born delivery baby, wedding etc.
  • Organize event of Corporate Social Responsibility (CSR)
  • Prepare master list date of birth employee
  • Prepare birthday budget for Management, Manager, staff to get approval

  Manage Uniform

  • Well-prepared uniform before the arrival of new staff either to use existing or cutting new set. Then hand out on the starting date with signature and filing.
  • Regularly record the uniform inventory and do the budgeting as request from department head.
  • Manage staff movement affecting to uniform
  • Controlling the loss of the uniform and take appropriate action with each employee
    
    On-boarding
  • Issue employment contract
  • Sign with new hire
  • Follow up document from new hire
  • Follow up probation
    
    Off-boarding Function
  • Explain the resignation procedure and form
  • Conduct Exit Interview and writing summary report
  • Prepare relevant monthly reports to Director as required and on timely manner
  • Comply the company rule & regulation
    
    Staff Training and Development
  • Conduct new employee orientation
  • Induction training preparation, process and following up until the end of probation for evaluation. Then issue a letter for either offer or terminate
  • Schedule staff for approved training course in house or external.
  • Documentation the training material and other related for information including the assessment.
  • Assist the training coordinator in preparing training materials for training
  • Assist in the delivery of the trainings such as facilitation and providing logistics support during the training
  • Ensure that training activities are documented, and training materials used are recorded and filed
  • Work with the Training Coordinator in the preparation of the training courses such as invitation and processing of applicants, preparing venue for trainings, facilitating accommodations of training participants, and preparation of logistics
  • Monitor staff personal development planning basis (quarter, annual)
    
    II. Job Requirements

  • Education/Degree: BA or MBA in Human Resource and Administration
  • Experiences: At least 3 years experience in Admin and HR position
  • Proficiency in computer programs, such as Microsoft Word, Excel, PowerPoint, Internet & Email,
  • Language: Advanced/Good in English
  • Knowledge: Intermediate Cambodia Labor Law and Practice, and capable of dealing with Govt related duties such as rule and regulations, foreign work permitted, employment book, NSSF, health and safety in a workplace etc.
  • Competency: Teamwork, Communication, Attention to detail, Staff acquisition, Personnel action processing, and Recordkeeping (filing).
