Job Description:

We are seeking a dedicated and organized individual to join our team as an Operations and Administrative Assistant. In this role, you will be an integral part of our daily operations, supporting our recruitment processes and ensuring the efficient functioning of our dynamic agency. The ideal candidate will thrive in a fast-paced environment, possess excellent organizational skills, and have a keen eye for detail.

Key Responsibilities:

  • Collaborate with recruiters in candidate sourcing, screening, and coordination of interviews.
  • Manage candidate documentation and ensure compliance with industry regulations.
  • Facilitate client communications, including arranging meetings and preparing client-related materials.
  • Assist in the preparation of client contracts and agreements.
  • Maintain and update our candidate and client databases with accuracy.
  • Generate reports and analytics to support decision-making.
  • Assist in organizing recruitment events, job fairs, and client engagement activities.
  • Coordinate logistics for agency-sponsored events.
  • Provide support for our recruitment software and tools.
  • Act as a brand ambassador for Engio and uphold our values and reputation.
  • Undertake ad-hoc projects and tasks as assigned by the superior.
  • Assist with special projects related to process improvement and operational efficiency.

Qualifications:

  • Minimum a high school diploma is required; a Bachelor's Degree (any field) is advantageous.
  • Required <25 years old
  • Experience in administrative roles, preferably within a recruitment agency or related industry.
  • Familiarity with applicant tracking systems (ATS) is a plus.
  • Proficient in English with excellent written and verbal communication skills.
  • Ability to interact professionally with clients, candidates, and team members.
  • Basic understanding of recruitment processes and terminology.
  • Awareness of compliance requirements in the recruitment industry.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with recruitment software.
  • Comfortable adapting to new technologies and tools.

  • Quick learner with a proactive approach to problem-solving.
  • Strong interpersonal skills and the ability to collaborate effectively with recruiters and other team members.
  • Positive attitude and a commitment to contributing to the success of the team.
  • Understanding of the confidential nature of candidate and client information.
  • Ability to handle sensitive information with discretion.
