About the job Customer and Project Support Coordinator (Permanent or freelance)

📋 Tasks and responsibilities

Your role

A project is helping Belgian notary offices migrate to a more secure network environment. As a Project and Customer Support Coordinator, you guide offices through the different steps of this transition and help them keep moving forward.

The role combines customer contact, proactive follow-up and project administration. You will regularly speak with notaries, their employees and IT contacts. You clarify what they need to do, answer practical questions and involve the right colleagues when more technical support is needed.

What will you do?

  • Contact notary offices proactively by phone and email and guide them through the different steps of the migration process.
  • Explain clearly what is expected from each office and clarify the next steps.
  • Answer practical questions and ensure that more technical questions reach the appropriate people for follow-up.
  • Encourage offices to register and place their orders on time.
  • Follow each office through registration, quotation, outstanding information, order and installation.
  • Follow up when a quotation needs to be returned, information is missing or a case is no longer progressing.
  • Maintain a clear overview of all ongoing cases and their status in Excel.
  • Identify which offices require action and contact them proactively, without waiting for the project manager to assign each follow-up.
  • Coordinate with the project team and the external partners involved in the rollout.
  • Report recurring questions, issues and blockers to the project team.

What does this look like in practice?

A notary office may contact you with questions such as:

  • Which type of internet connection do we need?
  • What happens to our existing internet connection?
  • What are the next steps after registration?
  • Who should we contact regarding the installation?
  • We received a quotation. What do we need to do now?

You do not need to be a network specialist who can answer every technical question yourself. What matters is that you take ownership of each question, understand what the office needs, involve the right person when necessary and ensure that the case continues to progress.

📝 Your profile

We are looking for a medior project assistant or coordinator with 2 to 3 years of relevant experience in customer support, service desk, project support or another coordination role involving regular customer contact and follow-up.

  • You communicate clearly, focus on customer needs and are comfortable dealing with different types of interlocutors.
  • You are proactive, solution-oriented and comfortable following up by phone and email.
  • You know how to persuade and motivate others in a positive, professional way.
  • You work independently, take initiative and follow cases through to completion.
  • You are well organised, can manage multiple cases and are comfortable using Excel and Office 365 for project administration and monitoring.
  • You have a very good command of Dutch and French, both spoken and written, and a good working knowledge of English.

And the IT side?

You do not need to be an IT or network specialist. You will encounter topics such as internet connectivity and different connection technologies, so an interest in IT or telecommunications and the ability to understand new concepts quickly will help you in this role.

The project manager and project team will support you with more complex questions.

Where are you going to work and when...

The role is based in 1000 Brussels, with 40% of the work carried out in the office and 60% from home.

The planned start is as soon as possible.

Interview process

The process includes two one-hour interviews: a first round with the manager and HR via Teams, followed by a more technical interview on site.

💼 Offer

You will be part of a growing Belgian SME where initiative and personal development are encouraged. We will provide you with an enjoyable work environment with fun colleagues. We will work out a career plan with you, with attention and a budget for extra education/certification. You can count on an attractive salary, supplemented with extra-legal benefits, including a company car.
(Freelance is also possible)
