📋 Tasks and responsibilities

For a project engineering team in Olen, we are looking for a well-organised Project Administrative Assistant / Project Support Officer to provide day-to-day administrative support in a technical project environment.

This role is focused on operational project administration, with emphasis on purchasing support, SAP follow-up, time registration processing, document control and coordination with internal stakeholders and external EPCM partners. The position is primarily administrative and does not require an engineering background.

  • Follow up purchasing activities, purchase orders and invoices in SAP and SAP Ariba.
  • Verify timecards and process time registrations in SAP for project staff and external partners.
  • Coordinate administrative activities with internal teams and EPCM partners.
  • Manage project documentation, including As Built files, folder structures and information flows.
  • Prepare planning overviews, monitor action lists and follow up on missing input.
  • Collect, register, analyse and verify project-related information in systems such as SAP and Planisware.
  • Support the project team with meetings, minutes, communication, travel arrangements and backup administrative assistance.

📝 Your profile

  • You have at least 5 years of relevant experience in administrative support, project administration, purchasing support or project support.
  • You have experience working in a technical project environment.
  • You understand purchase orders, invoices, approval flows and administrative processes in practice.
  • You have experience with Document Management Systems; knowledge of SharePoint is a strong plus.
  • You are comfortable with Microsoft Office, especially Outlook, SharePoint, Word and Excel.
  • Experience with SAP is a strong advantage; SAP Ariba is a plus.
  • You work accurately with administrative data, time registrations, purchase-order information and invoice details.
  • You are practical, hands-on and service-oriented.
  • You are well organised and able to handle multiple administrative priorities at the same time.
  • You are detail-oriented, reliable and attentive to project priorities.
  • You take ownership and follow up tasks until completion.
  • You proactively request missing input, monitor actions and escalate when needed.
  • You communicate clearly and professionally with internal and external stakeholders.
  • You feel comfortable in an international, multidisciplinary project environment.
  • You are a team player who can also work independently within agreed procedures.
  • Experience working according to documented procedures, approval workflows and audit-trail requirements is considered an asset.
  • You are fluent in Dutch, both spoken and written.
  • You are fluent in English, both spoken and written.

Location

The assignment is based on site in Olen.

Full on-site presence is required during onboarding and training to become familiar with the team, systems and internal processes. After a successful onboarding period, remote work may be possible in agreement with the manager.
