Purpose of the role

As a Mobilisation Manager you will play a critical role in leading a transition of services betwen services providers. Leading with a robust approach and driving service excellence for our customer and end client, this is a dynamic and collaborative role that requires strong analytical, communication, excellent stakeholder management and problem-solving skills.

Responsibilities

The role will be responsible for the overall delivery of the mobilisation, ensuring all operational services are transferred through leading a team of Workstream Leads, Subject Matter Experts and third party providers to setup and deliver the services in the proposed bid model. As part of this process you will act as the single point of contact and lead multidisciplinary teams across various sites and organisations thorugh excellent stakeholder and relationship management to proivde a best in class service.

Leadership & Execution

  • Ensure the successful transition of contracts through utilising extensive mobilisation experience and working closely with the operational teams, subject matter experts and third-party providers.
  • Make clear the expectations of the mobilisation team and their roles and responsibilities whilst on the project.
  • Ensure buy in on the process and approach, along with accountability where needed.
  • Adopt a coaching approach to get the best out of the internal and client team to support their ongoing personal and professional development.
  • Post mobilisation phase, seamlessly hand over the project to the operational managers and supporting them during the transition to steady state.

Stakeholder Management

  • Develop excellent working relationships with all key stakeholders, maintaining a finger on the pulse during the mobilisation process
  • Liaisie with Comunication and Training Lead (if allocated to project) to align on approach, deliverables and output.
  • Supported by the Communications and Training Lead, complete due dilligence across stakeholders and stakeholder groups to understand what methods will suit each group.

Governance & Control

  • Responsible for management of the mobilisation budget, ensuring each mobilisation is successfully delivered within the pre-agreed budget constraints.
  • Co-ordinate the relevant business support departments at various stages throughout the process, ensuring the mobilisation is adequately resourced.
  • Chair weekly face to face meetings and/or conference calls with the Operations Team, Workstream Leads, Subject Matter Experts and Client Representatives to update on the mobilisation progression, sharing the updates, key risks and issues and dependencies to drive the programme forward.
  • Review the tender and contract documents to fully understand the scope of works and ensure that scope creep and changes are captured and managed through the correct teams.
  • Highlight any issues or risks which may impact the successful delivery of the project, ensuring business continuity during transition.

Operational Readiness & Cutover

  • Develop business readiness critieria including essential go live requirements that is agreeable with all stakeholders.
  • Plan and facilitate a deep dive review ahead of go live to understand any potential issues, gaps or areas where additional support may be needed.
  • Develop a cutover plan to provide intricate details around the transition and hanover of services, people, tools, equipment and systems between providers.
  • Liaise with stakeholders in the to ensure the delivery of training to sites on business processes and procedures.
  • Manage increase in support and governance around the cutover period, including hypercare for atleast two weeks pre and post go live.
  • Manage specific cutover risks and issues and reporting (including an increased frequency of reporting during cutover).

Handover to BAU

  • Support the account team in achieving stabilisation and steady state
  • Act as the point of continuity for mobilisation and service transition management.
  • Ensure all mobilisation activities are completed, closed out and are agreed as such by the client and end client.
  • Plan and facilitate a detailed lessons learn review, to identify areas for improvement, innovation for the internal and/or account team to take forward.
  • Highlight recommendations, as part of continuous improvement, that would improve the customer journey and end user experience.
  • Ensure that project closeout process is completed and that all billing and cost applications are subitted for all recoverable costs.

Requirements

  • 5 years+ experience in the Facilities Management (FM) sector
  • 5 years+ experience in change and transformation (inc mobilisations)
  • Excellent written, verbal and numerical competence
  • Consutling and proejct management experience within the Built Environment
  • Proven track record of delivering high profile projects and mobilisations/transitions
  • Proven track record of leading mutli disciplinary teams
  • High level of integrity, EQ and ability to work with C-Suite level Execs
