Job Summary

We are looking for a motivated, detail-oriented, and customer service-focused individual with strong communication, organizational, and follow-up skills to join our team as a Patient Enrollment & Concierge Coordinator! This is a full-time, long-term opportunity with the freedom to excel and make a significant impact. You will work closely with our medical staff to conduct over-the-phone medical intake interviews, gather comprehensive patient information, and ensure a smooth and efficient workflow.

As a Concierge Medicine Intake Assistant, you will be meeting directly with our high-end clients to understand their medical needs and how we can provide the best possible care through our exclusive concierge medical services. Our clients expect excellent customer service and a luxury experience, and you will play a crucial role in delivering that. We are ideally seeking a candidate with experience in nursing or a similar medical field, who is familiar with medical terminology and can communicate efficiently and effectively in a fast-paced environment.

Preference will be given to candidates with past hospitality, luxury hotel, or high-end plastic surgery clinic experience. This experience is a plus as it will help you anticipate and exceed the expectations of our clients, ensuring they receive the highest level of service and care. Candidates with medical certifications and credentials, such as nursing staff, who bring valuable experience and expertise to our team, are highly encouraged to apply.

Essential Duties and Responsibilities

· Serve as the first point of contact for affluent patients accustomed to luxury services, ensuring an elevated experience from the first interaction.

· Leverage past hospitality, luxury hotel, or high-end plastic surgery clinic experience to anticipate and exceed patient expectations.

· Upload lab results to the patients electronic health record (EMR)

· Notify patients once their lab results are available and guide the next steps.

· Schedule follow-up appointments for patients to review their lab results with the doctor.

· Convert inbound inquiries into new patient memberships by elegantly articulating the exclusive benefits of our concierge medical services.

· Educate potential clients on the various levels of concierge services available, highlighting the unique advantages and costs associated with each tier.

• Highlight the benefits of concierge medical services such as personalized care, extended appointment times, and exclusive additional services.
• Provide exceptional customer service during patient interactions with a commitment to excellence, addressing patient needs promptly and professionally.
• Prepare and maintain client records, ensuring all records are up-to-date, organized, and reflective of our high standards.
• Adhere to all regulations and policies of the medical facility, as well as federal, state, and local laws and regulations, to ensure compliance and maintain our high standards of care.
• Strictly adhere to HIPAA guidelines and confidentiality standards, ensuring the privacy and security of our esteemed patients.

Qualifications

Education:

• Bachelor's degree in nursing, Healthcare Administration, or a related field.

Certification:

· Nursing certification (preferred) such as Registered Nurse (RN) or Licensed Practical Nurse (LPN).

· Basic Life Support (BLS) certification required at the time of hire.

· Additional certifications such as Certified Medical Administrative Assistant (CMAA) or Certified Clinical Medical Assistant (CCMA) are a plus.

Experience:

· Minimum of 3 to 5 years of experience in Luxury Hospitality Setting, Wellness and Medical Spas, or High End Sales

· Experience in patient intake, appointment scheduling, and medical record management.

· Familiarity with concierge medicine practices and tiered service plans is a plus.

· Previous experience in a high-end plastic surgery clinic or luxury hospitality setting is highly preferred.

Skills:

• Strong communication and interpersonal skills to interact effectively with patients and medical staff.
• Proficiency in medical software and electronic health records (EHR) systems.
• Excellent organizational skills and attention to detail.
• Ability to multitask and manage time effectively in a fast-paced environment.
• Empathy and a patient-focused approach to care.
• Experience working with high-end clients, understanding their unique needs and expectations, and delivering a luxury experience.
• Ability to confidently present and sell wellness programs, ensuring a high conversion rate from calls and consultations.
• Ability to clearly explain wellness programs, memberships, and treatments, tailoring recommendations to client needs.
• Ensuring that leads are nurtured, follow-ups are timely, and repeat clients feel valued.
• Ability to fluently speak both English and Spanish
