About the Role:
As a Logistics & Operations Specialist, you will play a pivotal role in ensuring the seamless execution of events and operations. You will be responsible for planning, coordinating, and optimizing logistics, managing vendors, and collaborating with cross-functional teams to deliver exceptional results. Your work will directly contribute to maintaining the reputation as a reliable and professional partner.

Key Responsibilities:

  • Logistics and Planning: Source event venues, select contractors, and coordinate technical setup and staffing.
  • Travel Coordination: Organize business trips, including hotel bookings, flight reservations, and travel documentation.
  • Vendor Management: Develop technical specifications, monitor quality and deadlines, and liaise with the legal team for contract approvals.
  • Materials and Branding: Order and print promotional materials, ensure brand compliance, and oversee timely delivery to event locations.
  • Cross-Department Collaboration: Work closely with marketing, SMM, CRM, and design teams to ensure cohesive event execution and promotion.
  • Analytics and Reporting: Collect participant feedback, analyze event effectiveness, and optimize costs and processes.

Requirements:

  • 2+ years of experience in logistics, event management, or related fields.
  • Strong negotiation skills and experience working with contractors; knowledge of basic document workflows.
  • Proven ability to manage multiple projects simultaneously and meet tight deadlines.
  • Proficiency in project management tools (Excel, Google Workspace, Trello/Asana, etc.).
  • Excellent communication skills in both Russian and English (written and spoken).
  • Willingness to travel and adapt to flexible schedules during events.
