About the job Document Controller

Scope of Works:

  • Document Management: Act as a focal to manage the creation, review, distribution, and storage of project documents including drawings, specifications, contracts, correspondence, and reports.
  • Version Control: Ensure that all project documents are properly versioned and that the latest versions are readily available to project team members while outdated versions are archived or removed.
  • Document Tracking: Track the status of documents throughout their lifecycle, from creation to approval to distribution, ensuring that deadlines are met and documentation flows smoothly through the necessary review and approval processes.
  • Document Retrieval: Facilitate quick and efficient retrieval of project documents when needed by project team members, stakeholders, or external auditors.
  • Quality Assurance: Ensure that project documents adhere to established COMPANY quality standards, formatting guidelines, and naming conventions to maintain consistency and clarity across all project documentation.
  • Communication Liaison: Act as a liaison between project team members, external stakeholders, and document owners to facilitate effective communication and collaboration related to project documentation.
  • Compliance Management: Ensure that project documentation complies with relevant regulatory requirements, industry standards, and contractual obligations.
  • Security Management: Implement and maintain document security measures to protect sensitive or confidential information from unauthorized access, modification, or disclosure.
  • Archiving and Retention: Establish and maintain protocols for the archiving and retention of project documents according to project requirements, legal obligations, and organizational policies.
  • Others: Assist on any administrative matters for the project

Minimum Qualification:

  • Diploma or above in Business Management / Engineering / Computer Science / Secretarial / equivalent (basic degree/diploma, etc.).
  • Minimum two (2) years document control related experience in oil and gas industry.
  • Candidates need to be ready for relocation accordingly.
