Job Expectation

Executive, Business Operations is expected to support day-to-day business functions, coordinate cross-functional activities, monitor performance metrics, and contribute to process improvements to ensure efficient and aligned operational execution.

Position Overview

The Executive, Business Operations will play a key role in managing contract staff lifecycle activities, ensuring accurate contract administration, and supporting compliance with employment laws and tax regulations. The role requires strong organizational skills, an understanding of salary and benefits structures, and the ability to coordinate effectively across departments and with third-party service providers.

Qualification And Experience

  • Bachelors degree in Business Administration, Human Resources, or a related field.
  • Minimum 2–3 years of experience in handling contract staffing and HR operations.
  • Prior experience in onboarding, contract issuance, and managing contract renewals.
  • Knowledge of Malaysian labour laws, employment regulations, and statutory compliance (e.g., EPF, SOCSO, EIS).
  • Familiarity with salary structures, staff benefits, and payroll processes.
  • Exposure to Malaysian tax regulations related to employment.
  • Strong attention to detail, time management, and administrative accuracy.
  • Good communication and interpersonal skills.

Key Responsibilities

  • Cost Controlling Scopes:
    • Ensure proper control and management of costs for all contracts under Talent Solutions.
    • Consolidate, reconcile and update on all P&L - including Revenue, Cost, PO Tracking, Invoicing & Collection Tracking.
    • Provide reporting on P&L, Contract/PO Tracker, Invoicing/Collection Tracker to stakeholders (Account Manager, Finance) and address all outstanding issues.
    • Reduce ageing invoices to < 30 days.
  • Business Operations Scopes:
    • Zero complaints from clients / partners
    • Zero cost overrun - Ensure 100% compliance to Project P&L.
    • Minimize accounting errors in liaison with Operations / Finance. Target 99.5% accuracy.
    • Improve Collection Efficiency by reducing aging invoices for all Contracts to < 30 days.
    • Ensure all invoices to be submitted within 2 days upon payment - including Consultants salary, PPE, Travel, Insurance, among others
    • On time delivery of tasks
    • Responsible on excellent & quality operational performance and contract delivery of all Contracts.
    • Establish great relationships with all Customers focal persons in invoicing & contract management.
    • Support Operation team in achieving their KPIs.
    • Support Business team whenever necessary
    • Ensure Operational Excellence in team members for all Contracts assigned.
    • Accountable to consolidate & reconcile all the Contract, PO, payment, invoices and collection.
    • Identify 2 New Operational or Business Strategic Initiatives – Execute & Progress
    • Promote & position ELSA as a trusted, professional, regional O&G talent solutions provider through operational excellence & quality work commitment in contract management.
