Administrative Supervisor

 Job Description:

Our client, an Am Law 50 law firm, is seeking an Administrative Supervisor to oversee day-to-day administrative operations for its local office. Reporting to the Director of Business Operations, this role plays a key leadership position in managing assigned departments while coordinating and executing firmwide initiatives at the local level.

Key Responsibilities

  • Supervise and guide administrative staff, providing direction on workflow, priorities, and resource allocation
  • Manage daily administrative operations for assigned departments, which may include Office Services, Facilities, and Reception
  • Lead and support local execution of firm initiatives, including office moves, maintenance projects, security, and resource management
  • Plan and execute office events and programs
  • Participate in the hiring and onboarding process for administrative staff
  • Assist with budget planning, tracking, and cost control for assigned departments
  • Serve as a liaison between the local office, firmwide teams, and external vendors; maintain vendor relationships
  • Maintain accurate administrative records, spreadsheets, databases, and reporting materials
  • Update systems and processes related to office moves, staffing changes, and other operational transactions
  • Support orientation and integration of new associates and staff into the office and the firm
  • Provide support for additional office initiatives, projects, and events as needed
  • Work extended or non-standard hours when required
  • Handle additional projects and responsibilities as assigned

Proficiencies

  • Advanced proficiency in Microsoft Office Suite
  • Working knowledge of budgeting, including planning, tracking, and reconciliation
  • Knowledge of office administration and services best practices, within a legal or professional services environment
  • Familiarity with records management practices, preferably in a legal setting
  • Understanding of facilities, reception operations, and best practices
  • General knowledge of office management procedures

Qualifications

  • Bachelor's degree preferred
  • Minimum of 6 years of experience in a legal or professional services environment (required)
  • At least 2 years of supervisory experience
