PURPOSE OF THE POSITION:
To perform all administrative, reception and secretarial duties relating to the Managing Director including managing the diary, processing documentation (agenda), booking, receiving guests and prioritizing telephone calls. The incumbent will in addition be required to supervise and manage the front desk function at NBL.
QUALIFICATIONS & EXPERIENCE:
- Diploma in Office Administration/ Secretarial
- Minimum of 3-4 years executive secretarial experience
- Computer literate (MS Office systems); SAP experience will be advantageous
- A valid drivers license
KEY ACCOUNTABILITIES:
- Provide administrative support to the MD including personal matters.
- Taking full accountability of managing the MDs office (consumables, stationery, etc).
- Manage the end-to-end procurement processes.
- Dealing with calls and correspondences on behalf of the MD, ensuring that the MD is abreast.
- Arranging meetings and organizing calendars, including preparing documents and reports for meetings.
- Arrange the international travel and domestic engagements of the MD and Management Team members.
- Facilitate visitors, guests and clients of the MD.
- Maintain and update accurate filing system.
- Writing memos, e-mails, letters, reports and applications as requested.
- Preparing and administrating budgets.
- Manage all arrangements and claims relating to Workshops and Conferences.
- Supervise others, plan work of the team and overall accountable for tasks to be performed by the front desk team.
- Willingness to travel.
- High energy levels as the position requires the need for flexibility.
