We are expanding rapidly and need a dedicated Project Manager to ensure smooth implementations and successful project delivery as we scale.

Position Overview

The Project Manager for Implementations and Special Projects will be responsible for coordinating and overseeing all implementation activities across the organization, ensuring projects are completed on time, within scope, and to the highest standard of quality. This role is critical in enabling Flexio to focus on strategic sales efforts by minimizing operational bottlenecks, managing resources efficiently, and maintaining alignment across teams.

Key Responsibilities

• Project Planning & Execution

Develop, manage, and execute project plans for all implementations and special projects across departments. Define project scope, goals, and deliverables in collaboration with stakeholders. Coordinate internal resources and third-party vendors for flawless project execution.

• Resource Management

Identify and allocate resources for each project to optimize efficiency and productivity. Work closely with department leads to ensure that resource needs are met without compromising sales or customer service goals.

• Stakeholder Communication

Serve as the primary point of contact for all project-related matters, providing regular updates to stakeholders and ensuring open communication. Facilitate project meetings, create status reports, and document project milestones and key decisions.

• Risk & Issue Management

Proactively identify, track, and mitigate risks to project timelines, quality, or resource availability. Develop contingency plans to address potential challenges, ensuring minimal disruption to ongoing operations.

• Project Tracking & Reporting

Monitor project performance against key performance indicators (KPIs), ensuring timely delivery and adherence to budget. Provide weekly and monthly project reports, highlighting progress, risks, and successes.

• Process Improvement

Continuously review and refine project management processes to enhance operational efficiency and scalability. Contribute to the development of best practices and standard operating procedures for project management.

Requirements

• Experience: Minimum of 3-5 years of project management experience in a logistics, SaaS, or technology-driven environment.
• Education: Bachelors degree in Business Administration, Project Management, Operations, or a related field (PMP or similar certification is a plus).

Skills:

- Proficient in project management software (e.g., Asana, Monday.com, Jira, or equivalent).

- Strong understanding of resource allocation, risk management, and timeline management.

- Exceptional communication skills and the ability to facilitate cross-departmental collaboration.

- Strong problem-solving abilities with a proactive approach to managing potential roadblocks.

- Detail-oriented, organized, and able to manage multiple projects simultaneously.
