The Warehouse Administrative Assistant will play a vital role in supporting our warehouse and logistics operations. This position involves managing shipping and receiving documentation, ensuring inventory accuracy, generating essential shipping documents, and communicating effectively with colleagues across all departments to resolve any discrepancies. The ideal candidate will be comfortable working in a warehouse environment and possess strong organizational and communication skills.

Responsibilities include:

  • Confirming the accuracy of all shipping and receiving documents.
  • Communicating effectively and professionally with internal (e.g., sales, production) and external (e.g., carriers, vendors) contacts to clarify information and resolve any issues.
  • Generating essential shipping documents, including packing lists, material certifications, and bills of lading.
  • Scheduling freight pickups with various carriers.
  • Updating and maintaining data accurately in Microsoft Excel spreadsheets and our Access Database.
  • Assisting the Warehouse/Logistics Manager with various administrative tasks as needed.
  • Maintaining organized filing systems for shipping and receiving records.
  • Tracking and reporting on key shipping and receiving metrics.
  • Addressing any inventory discrepancies by working with relevant departments.
  • Comfortable working in a warehouse environment, which may involve exposure to varying temperatures and noise levels.

Skills/Qualifications:

  • High school diploma or equivalent; Associate's degree in a related field is a plus.
  • Proven attention to detail and strong organizational skills.
  • Excellent written and verbal communication skills, with a professional demeanor.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Experience with data entry and maintaining accurate records.
  • Familiarity with shipping and receiving processes and documentation is preferred.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to address discrepancies effectively.
  • Comfort working in a warehouse environment.
  • Willingness to learn and utilize our Access Database (training will be provided).
  • Ability to manage time effectively and prioritize tasks.
  • Must be able to pass a pre-employment drug screening and background check.
