Position Overview: 

The Marketing Project Manager will ensure the smooth execution and successful delivery of all marketing projects. They will be responsible for project planning, coordination, tracking, and communication, ensuring that deadlines are met, budgets are adhered to, and project goals are achieved. The ideal candidate will be highly organized, detail-oriented, and possess strong communication and interpersonal skills.

Key Responsibilities:

Project Planning and Coordination:

  • Develop comprehensive project plans, including timelines, milestones, and resource allocation.
  • Collaborate with cross-functional teams to define project scope, objectives, and deliverables.
  • Facilitate project kick-off meetings, status updates, and post-mortem reviews.
  • Manage project documentation, including creative briefs, project plans, and status reports.
  • Utilize Asana to track project progress, assign tasks, and manage deadlines.

Communication and Stakeholder Management:

  • Communicate project status, risks, and issues to internal and external stakeholders.
  • Manage expectations and ensure alignment among team members and stakeholders.
  • Facilitate effective communication and collaboration between internal teams and external vendors.
  • Build and maintain positive relationships with stakeholders at all levels.

Budgeting and Vendor Management:

  • Assist in developing project budgets and tracking expenses.
  • Negotiate with vendors to secure the best rates and services.
  • Manage vendor relationships and ensure compliance with contractual agreements.

Creative Collaboration:

  • Participate in creative brainstorming sessions and contribute to developing creative briefs and pitch documents.
  • Provide constructive feedback on creative concepts and ensure alignment with project objectives.

Additional Duties:

  • Assist in the development of marketing strategies and campaigns.
  • Conduct market research and competitive analysis.
  • Stay up-to-date with industry trends and best practices in project management.
  • Must be able to work 9 am- 5pm EST Time;

Essential Skills & Qualifications:

  • Project Management Expertise: Proven ability to plan, execute, and deliver marketing projects on time and within budget.
  • Organizational Prowess: Highly organized with meticulous attention to detail and ability to manage multiple projects simultaneously.
  • Communication & Collaboration: Excellent communication and interpersonal skills to effectively collaborate with cross-functional teams and external stakeholders.
  • Technical Proficiency: Experience with project management software (Asana or similar) and familiarity with marketing tools and platforms.
  • Adaptability & Problem-Solving: Ability to thrive in a fast-paced environment, adapt to changing priorities, and proactively solve challenges.
  • Strategic Thinking: A strategic mindset that can align project goals with overarching marketing objectives.

Nice-to-Have Skills:

  • Marketing Acumen: Understanding of marketing principles, strategies, and tactics to contribute to creative briefs and pitch documents.
  • Budget Management: Experience in developing and managing project budgets, negotiating with vendors, and tracking expenses.
  • Industry Knowledge: Familiarity with the eye care industry or related fields.
  • PMP Certification: Project Management Professional (PMP) certification or equivalent.

Non-negotiable skills:

  • Bachelor's degree in marketing, business administration, or a related field.
  • 3+ years of experience in project management, preferably in a marketing environment.
  • Proven experience in managing complex projects from inception to completion.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in Asana or similar project management software.
  • Strong understanding of marketing principles and strategies.
  • Ability to work independently and as part of a team.
  • Ability to manage multiple projects simultaneously and prioritize effectively.
