The Document Controller is responsible for establishing, maintaining, and managing an efficient document control system for project-related documentation. This role ensures accuracy, accessibility, traceability, and compliance of all project documents while supporting project teams and contributing to effective project execution and governance.
JOB DESCRIPTION:
Document Control System Management
- Establish and maintain a centralized document control system for all project documentation.
- Develop, implement, and continually improve document control procedures and workflows.
Document Management
- Receive, log, track, and distribute incoming and outgoing project documents to relevant stakeholders.
- Ensure proper document version control, naming conventions, and metadata accuracy.
Organizing & Filing
- Organize and categorize documents in a systematic and accessible manner.
- Create and maintain both electronic and physical filing systems that ensure easy retrieval and long-term storage.
Quality Assurance
- Conduct regular quality checks to ensure document accuracy, completeness, and compliance.
- Coordinate with project teams to resolve document inconsistencies or errors.
Access Control
- Manage access permissions and ensure only authorized personnel can retrieve or modify documents.
- Monitor documents, access history and maintain security and confidentiality standards.
Collaboration with Project Teams
- Collaborate with project managers, engineers, and stakeholders to understand document requirements.
- Facilitate efficient communication and document flow between internal teams and external parties.
Document Retrieval & Support
- Ensure timely retrieval documents for project teams, audits, or external reviews.
- Maintain an efficient and traceable document retrieval process.
Training & User Support
- Provide training to team members on document control systems, processes, and best practices.
- Offer ongoing support for document-related issues and system usage.
KEY QUALIFICATIONS:
- Bachelor's degree in business administration, Information Management, or a related field.
- 5-7 years of experience as a Document Controller, preferably in the energy or water industry.
- Strong familiarity with document control software and digital document management systems.
- Excellent organizational, coordination, and time-management skills.
- High attention to detail, accuracy, and record-keeping discipline.
- Proficient in Microsoft Office applications and document control platforms.
- Strong communication and interpersonal skills.
