We are seeking an experienced Lead Document Controller to manage and oversee all document control activities for a major EPC engineering project in the oil & gas sector. The successful candidate will be responsible for establishing and maintaining an efficient document management system, ensuring all engineering, procurement, vendor, construction, and project documentation is processed, controlled, and distributed in accordance with project procedures and quality standards. The ideal candidate will have extensive experience supporting large-scale EPC projects in the Middle East and possess strong knowledge of document control systems, workflows, and industry best practices.
JOB RESPONSIBILITIES
- Lead and supervise all document control activities throughout the project lifecycle, from engineering through project close-out.
- Develop, implement, and maintain document control procedures in accordance with company and project requirements.
- Ensure timely receipt, registration, numbering, distribution, retrieval, storage, and archiving of project documentation.
- Manage engineering documents, technical drawings, specifications, procedures, calculations, reports, vendor documents, material submittals, and correspondence.
- Review incoming and outgoing documents for completeness, formatting, revision status, and compliance with document control procedures.
- Maintain accurate document registers, transmittal logs, revision histories, and document tracking reports.
- Coordinate with engineering disciplines, procurement, quality, construction, project management, clients, vendors, and subcontractors to ensure timely document flow.
- Monitor document review cycles and follow up with stakeholders to ensure timely approvals and document turnaround.
- Control revisions and superseded documents to ensure only the latest approved versions are available for project execution.
- Generate periodic document status reports and key performance indicators (KPIs) for project management.
- Administer electronic document management systems (EDMS) and maintain document databases.
- Ensure compliance with ISO quality management systems and company document retention policies.
- Support project handover activities by preparing final documentation packages, dossiers, and archive records.
- Mentor and supervise junior document controllers and provide guidance on document control processes.
- Participate in audits and ensure document management practices comply with quality requirements.
KEY QUALIFICATIONS
- Bachelor's Degree or Diploma in Business Administration, Information Management, Engineering, or a related discipline.
- Professional certification in Document Control or Records Management is an advantage.
- 10+ years of document control experience within EPC projects.
- Minimum 5 years in a Lead or Senior Document Controller role.
- Experience supporting large-scale oil & gas, petrochemical, refinery, offshore, or energy projects.
- Middle East project experience is highly preferred.
- Experience coordinating multidisciplinary engineering documentation.
- Strong knowledge of engineering document numbering systems and document control procedures.
- Hands-on experience with Electronic Document Management Systems (EDMS) such as: Aconex, ProArc, SharePoint, OpenText, Documentum, ACC (Autodesk Construction Cloud) or equivalent
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong understanding of engineering drawing revisions, vendor documentation processes, and transmittal management.
- Knowledge of ISO 9001 quality documentation requirements.
- Experience preparing final handover documentation and project close-out records.
- Excellent organizational and document management skills.
