Job Title: Project Administrator

Job Summary:

The Project Administrator is responsible for providing administrative support to construction projects, ensuring that all project documentation, reporting, and communications are properly managed and organized. They work closely with project managers, engineers, architects, and contractors to ensure that all administrative tasks are completed on time and to the required quality standards.

Duties and Responsibilities:

  • Create, maintain and organize project documentation, including contracts, proposals, drawings, specifications, and other project related documents.
  • Monitor and track project timelines and milestones, ensuring that all deadlines are met and all project-related tasks are completed on time.
  • Assist in the preparation and coordination of project meetings, including scheduling, preparing agendas, and taking minutes.
  • Manage and organize project communication, including email, phone calls, and other correspondence, ensuring that all stakeholders are kept up-to-date on project progress.
  • Maintain project budgets and financial records, including preparing and processing invoices, purchase orders, and expense reports.
  • Provide technical support and advice to project managers, engineers, architects, and contractors, ensuring that they have the necessary information to complete their tasks.
  • Coordinate project resources, including equipment, personnel, and materials, ensuring that they are available and properly allocated as required.
  • Manage project databases and reporting systems, ensuring that they are up-to-date and accurate.

Qualifications:

  • Bachelor's degree in business administration, project management or a related field.
  • At least 5 years of experience in project administration or a related field, preferably in the construction industry.
  • Strong knowledge of project management principles and practices, including project planning, scheduling, and coordination.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Excellent organizational, communication, and interpersonal skills, with the ability to work effectively with project stakeholders.
  • Strong attention to detail, with the ability to manage multiple tasks simultaneously.
  • Ability to work independently, with minimal supervision.
  • Familiarity with project management software is an added advantage.
