JOB SUMMARY
The Shared Services Senior Manager is responsible for leading and optimizing centralized support functions including Information Technology (IT), Business Intelligence (BI), Human Resources (HR), and Facilities & Admin (F&A). This role ensures operational efficiency, standardization of processes, and alignment of shared services with overall business objectives. The position requires strategic leadership, strong stakeholder management, and continuous improvement of service delivery.
KEY RESPONSIBILITIES
Operations & Service Delivery
- Oversee daily operations of IT, HR, BI, and Facilities & Administration
- Ensure efficient, timely, and high-quality service delivery across all functions
- Manage office operations, facilities maintenance, vendor coordination, and administrative services
- Ensure IT systems reliability, technical support effectiveness, and workplace readiness
- Maintain compliance with company policies and safety standards
Strategy, Process Improvement & Performance Management
- Develop and implement shared services strategies aligned with business goals
- Establish and monitor KPIs, SLAs, and performance metrics
- Identify inefficiencies and drive process improvements and automation
- Standardize workflows to improve scalability and consistency
- Use BI insights and reporting to support decision-making and improve operations
Leadership, Stakeholder & Resource Management
- Lead, coach, and develop a cross-functional shared services team
- Collaborate with department heads to align services with business needs
- Act as the main point of contact for shared services concerns and escalations
- Manage budgets, control costs, and allocate resources effectively
- Build strong vendor and stakeholder relationships
QUALIFICATION AND REQUIREMENTS
Education
- Bachelor’s degree in business administration, Management, Information Technology, Human Resources, or a related field
- MBA or relevant master’s degree is an advantage
- Professional certifications (optional but preferred):
- Lean Six Sigma (process improvement)
- ITIL (IT service management)
- Facilities Management or HR certifications
Experience
- 5–8 years of relevant work experience in shared services, operations, or functional management
- At least 3–5 years in a leadership or managerial role
- Proven experience handling Facilities & Administration plus exposure to IT, HR, or BI functions
- Experience in managing cross-functional teams and multiple stakeholders
- Background in process improvement, automation, or transformation projects is a strong advantage
SKILLS & COMPETENCIES
Technical Skills
- Knowledge of Facilities Management & Administration (office operations, vendor management, maintenance, safety compliance)
- Understanding of IT systems and infrastructure (basic networking, system support, IT service management)
- Familiarity with HR processes (onboarding, employee lifecycle, policies, HRIS systems)
- Proficiency in Business Intelligence tools (e.g., Power BI, Tableau, dashboards, reporting)
- Experience with ERP systems and enterprise tools
- Strong process improvement and automation knowledge (Lean, Six Sigma, workflow optimization)
- Data analysis and reporting skills for decision-making
- Budgeting and cost management skills
