JOB SUMMARY
The Warehouse Inventory Staff is responsible for the accurate physical handling of inventory inside the warehouse, ensuring all stock movements are executed according to SOPs, GMP standards, ERP system instructions, and basic reporting requirements.
This role requires basic Excel usage and reporting discipline to support inventory visibility. Warehouse Inventory Staff do not make inventory decisions, approve adjustments, or correct system data. Any issues must be reported immediately to the Inventory Team Leader.
KEY RESPONSIBILITIES
Inventory Handling & Execution
- Perform inventory-related tasks including:
Receiving quantity verification
Put-away to correct bin or rack
Bin-to-bin transfers
Picking verification
Staging for internal movement
- Handle raw materials, packaging materials, and finished goods according to SOPs.
- Follow FIFO / FEFO rules at all times.
- Ensure correct SKU, batch number, expiry date, and quantity handling.
- Prevent mixing of SKUs, batches, or locations.
ERP / System Transaction Support
- Encode or confirm inventory movements in the ERP/WMS only as instructed.
- Use scanners, terminals, or inventory forms correctly.
- Never bypass system steps or perform undocumented movements.
- Immediately report system issues, errors, or mismatches.
Excel-Based Tracking & Reporting (Basic Level)
- Update simple Excel trackers for:
- Daily inventory movements
- Cycle count participation
- Damaged, expired, or quarantined items
- Accurately record quantities, SKUs, and locations in assigned templates.
- Submit completed trackers on time to the Inventory Team Leader.
- Ensure accuracy and completeness of encoded data.
Inventory Accuracy & Control Support
- Participate in cycle counts, spot checks, and physical inventory counts.
- Assist during audits and variance investigations by providing factual execution data.
- Immediately report:
Quantity mismatches
Damaged or expired items
Incorrect labels or locations
Missing or excess stock
GMP, Safety & Housekeeping
- Follow GMP standards for cleanliness, segregation, and storage.
- Maintain clean, organized, and audit-ready inventory areas.
- Use PPE and follow safety protocols at all times.
- Report safety hazards, near misses, or incidents immediately.
Discipline & Teamwork
- Follow instructions from the Inventory Team Leader strictly.
- Complete assigned tasks accurately and on time.
- Cooperate with Warehouse Staff and Team Leaders.
- Escalate issues instead of attempting to “fix quietly.”
QUALIFICATION & REQUIREMENTS
Education:
- At least a high school graduate.
- Vocational or technical training is an advantage.
Experience:
- Prior warehouse or inventory handling experience is preferred but not required.
- Experience in FMCG, cosmetics, pharmaceutical, or regulated environments is an advantage.

WORK ENVIRONMENT
- Full-time, on-site warehouse role.
- Physically demanding environment involving standing, walking, and lifting.
- Shift work and overtime may be required during peak periods or inventory counts.
