IT Systems Administrator

 Job Description:

We are looking for an IT Systems Administrator to join our interal IT Team.  This is not a pure helpdesk role. The successful candidate must be comfortable operating as both an IT Systems Administrator and an IT Support Technician. They will be expected to resolve day-to-day support issues, while also administering cloud services, endpoints, access, licences, security controls and IT operational documentation.

What will you do?

Systems administration responsibilities

  • Administer Microsoft 365 services including Exchange Online, Teams, SharePoint, OneDrive and Microsoft 365 licensing.
  • Manage user accounts, groups, access requests and role-based access changes in Microsoft Entra ID.
  • Support Microsoft Intune device enrolment, configuration profiles, compliance policies, application deployment and endpoint remediation.
  • Maintain endpoint standards for laptops and end-user devices, including configuration, compliance, updates and security posture follow-up.
  • Support onboarding, offboarding and internal user movement processes, ensuring accounts, devices, licences and access are correctly provisioned or removed.
  • Maintain and update the IT asset register, including device assignment, lifecycle status, warranty information and ownership updates.
  • Assist with Exchange Online administration, mailbox configuration, distribution groups, shared mailboxes and basic mail flow support.
  • Contribute to IT process improvement, automation opportunities, SOPs, runbooks and audit-ready operational documentation.
  • Provide first-line and second-line support for users across office and remote working environments.
  • Monitor, triage and resolve IT service tickets within agreed service levels, ensuring users receive clear and regular updates.
  • Troubleshoot laptops, printers, Microsoft Office, Teams, SharePoint, OneDrive, VPN, Wi-Fi, network connectivity and productivity tools.
  • Prepare and configure user devices, peripherals and standard applications for new starters and replacement devices.
  • Support meeting room technology, video conferencing, office hardware and user productivity issues.
  • Escalate complex incidents appropriately while documenting troubleshooting actions, root causes and resolution notes.
  • Support IT security practices relating to MFA, access control, least privilege, endpoint protection and incident escalation.
  • Assist with access reviews, licence reviews, blocked or disabled account checks and device compliance follow-up.
  • Follow documented IT governance processes for onboarding, offboarding, asset handling, change activities and incident escalation.
  • Maintain accurate records and evidence where required for internal controls, audits and compliance-related activities.
  • Minimum 3 to 5 years' experience across IT support, service desk and Microsoft-focused systems administration.
  • Practical experience administering Microsoft 365, Entra ID, Exchange Online and Intune is strongly preferred.
  • Relevant certification or equivalent experience, such as A+, N+, Microsoft 365 Fundamentals, Azure Fundamentals, Endpoint Administrator or similar.
  • Working knowledge of Windows laptops, endpoint management, printers, networking basics, Wi-Fi, VPN, Microsoft Teams, SharePoint and OneDrive.
  • Experience with onboarding and offboarding users, managing access permissions, assigning licences and maintaining support documentation.
  • Understanding of basic security controls including MFA, least privilege, endpoint compliance, patching, phishing awareness and incident escalation.
  • Ability to manage multiple user requests while also progressing administration tasks and keeping records accurate.
  • Clear written and verbal communication skills with a proactive, customer-focused service approach.
  • Strong attention to detail, good documentation habits and the ability to follow structured IT processes.
  • Professional, approachable and calm under pressure.
  • Able to prioritise work based on urgency, business impact and service levels.
  • Takes ownership of user issues and follows through until resolution or proper handover.
  • Comfortable switching between hands-on support and backend administration work.
  • Collaborates well with IT colleagues, business users and third-party vendors.
  • Shows initiative by identifying recurring issues and recommending improvements.
  • Users receive timely, professional and well-communicated IT support.
  • Microsoft 365, Entra ID, Intune, endpoint and access administration tasks are completed accurately and consistently.
  • New joiners are enabled with the correct accounts, devices, licences and access before or on their start date.
  • Offboarding activities are completed securely, with access removed and assets recovered according to process.
  • Assets, devices and access records remain accurate and up to date.
  • Recurring IT issues are documented and converted into process improvements, SOPs or knowledge articles.
