We are looking for a detail-oriented and proactive Asset Management Associate to support the monitoring, reporting, compliance, and operational management of asset portfolios. The successful candidate will assist in maintaining accurate records, coordinating with contractors, supporting compliance activities, and contributing to reporting requirements while working closely with the Asset Management team.

This role is ideal for individuals who are highly organized, analytical, and eager to build a career in asset management, operations, or infrastructure services.



ACCOUNTABILITIES & KEY OBJECTIVES

  • Monitoring & Reporting Support - monitor dashboards and task management systems, identify anomalies and support preparation of reporting, compliance and regulatory outputs under TAM direction.
  • Operational Discipline - complete assigned recurring tasks accurately and on time, including time recording against the correct project and task codes each week.
  • O&M Coordination Support - assist with contractor follow-up, action tracking, defect register updates, scheduled maintenance coordination and O&M meeting administration.
  • Compliance & Documentation - maintain registers, document management systems, data room filing and audit-ready records in line with defined procedures.
  • Client Output Support - contribute to client-facing outputs only under TAM supervision and approval, attending client meetings as an observer or supported contributor as capability develops.
  • Training & Development - complete the cohort induction and all core TAM training modules within the agreed timeframe, participating actively in mentoring and knowledge sharing.
  • Early Escalation - identify issues, blockers, anomalies and risks early and escalate promptly to the Asset Manager (TAM) or Senior Associate.

MAJOR DUTIES & RESPONSIBILITIES

Asset Monitoring & Reporting

  • Monitor performance dashboards and task management systems daily, identifying anomalies and escalating issues to the Asset Manager (TAM).
  • Support preparation of client reports, compliance submissions and regulatory filings under TAM direction and supervision.
  • Compile data for weekly and monthly reporting outputs, including KPI data entry, report formatting and distribution as directed.
  • Maintain technical data dashboards and support data accuracy across monitoring systems.
  • Record time accurately against the correct project and task codes in the system each week.

O&M Contractor Support

  • Support O&M contractor follow-up, including action tracking, defect register updates and scheduled maintenance coordination.
  • Prepare meeting agendas, take meeting notes and maintain action registers for O&M meetings.
  • Complete recurring tasks assigned on the portfolio task board to the required standard and by the due date.
  • Respond to internal requests from the portfolio team within the required business timeframe or escalate if completion is at risk.

Compliance & Documentation

  • Maintain asset registers, document management systems and filing structures to audit-ready standards.
  • Upload regulatory submissions and manage data room filing under TAM direction.
  • Support the TAM and Senior Associate in managing project issues by completing assigned actions and escalating blockers promptly.
  • Assist with preparation of compliance, health and safety and regulatory documentation as directed.

Client Communication Support

  • Support client communication only under direct TAM supervision.
  • Ensure no client-facing communication is issued without TAM review and approval.
  • Attend client-facing meetings as an observer during early tenure, progressively taking a more active supported role as competency thresholds are met.
  • Maintain professional written and verbal communication standards in all internal and externally reviewed materials.

Training & Development

  • Participate actively in the cohort induction program and complete all core TAM training modules within the agreed timeframe.
  • Attend weekly one-to-one mentoring sessions with the Asset Manager (TAM) and engage with the structured development agenda.
  • Contribute to monthly cross-team knowledge sharing by sharing at least one lesson learned, technical finding or process improvement each month.
  • Treat induction and training as part of a formal capability record supporting future progression decisions.

Operating Standards & Team Contribution

  • Follow defined SOPs consistently and flag process gaps or unclear requirements to the TAM.
  • Adopt systems and tools as introduced and contribute practical suggestions for small process improvements.
  • Support a team culture of accuracy, responsiveness, compliance discipline and continuous learning.

ACCOUNTABILITY & DECISION AUTHORITY

Accountability

  • Accountable for accuracy, timeliness and completeness of assigned monitoring, reporting, compliance, documentation and task-board activities.
  • Responsible for maintaining audit-ready records and following all defined SOPs, compliance processes and internal requirements.
  • Responsible for escalating anomalies, blockers, compliance concerns and delivery risks promptly to the TAM or Senior Associate.

Decision Authority

  • No independent decision authority for client-facing outputs, regulatory submissions or external communications.
  • All outputs are reviewed and approved by the Asset Manager (TAM) unless a specific task competency has been formally signed off.
  • Operates within defined procedures, assigned tasks, training requirements and TAM direction.
