Client Introduction:
In this role, you will have the opportunity to work closely with one of our esteemed clients. This client is a global leader known for its commitment to quality and innovation. They have chosen Dautom as their trusted partner for their upcoming projects.
Key roles and responsibilities:
Preparing and managing documents for a business or a project.
Using document management software to upload, scan, verify, and store documents.
Filing and archiving relevant documents in an organized and secure way.
Retrieving documents for other staff and clients when needed.
Creating and maintaining document templates, file types, and document databases.
Ensuring documents are accurate, authentic, and compliant with laws and regulations.
The candidate must possess expertise/experience in the following domains:
5+ years of related construction phase experience is required
Bachelors degree in a relevant field
Analytical skills and ability to come to conclusions
Time management skills
Typing and editing skills
Ability to follow procedures exactly
Incredible organizational skills
Microsoft office suite skills
Can work independently without much guidance
Ability to communicate with other teams and departments
Knowledge of Electronic Document Management Systems (EDMS)
Proven work experience in a Document Controller job or a similar role
Managing Document Control Systems and Processes:
Implementing and maintaining document control procedures
Establishing and updating document control databases
Ensuring compliance with document management standards and regulations
Document Control and Organization:
Receiving, reviewing, and distributing incoming documents
Classifying and indexing documents for easy retrieval
Monitoring document revisions and maintaining version control
Quality Control and Assurance:
Performing quality checks on documents to ensure accuracy and completeness Resolving discrepancies or issues related to document content or formatting
Collaborating with stakeholders to address document-related concerns
Document Retrieval and Archiving:
Retrieving requested documents and information for internal and external stakeholders
Establishing document retention schedules and managing archiving processes
Ensuring proper disposal of outdated documents
Collaboration & Communication
Coordinating with project teams, departments, and external parties to facilitate document exchange
Providing support and training to users on document management systems
Maintaining effective communication channels to address document-related queries or issue
