Project Description:

Job Responsibilities:

  • Handle IRS and state/local tax authority (NY DTF, NYC DOF, other states) correspondence: log notices, track deadlines, prepare responses for review, and coordinate with outside tax advisors.
  • Support corporate tax, payroll tax and sales/use tax filings, including collecting documents and keeping filing calendars.
  • Receive and forward letters to FL office
  • Provide document support for employee immigration matters (collecting documents, tracking deadlines and status) under the direction of outside immigration counsel.
  • Administer group insurance (health, dental, life, disability): enrollments, changes, terminations, open enrollment, broker and carrier communication, and invoice reconciliation.
  • Keep entity records current: annual reports, registered agent notices, good-standing certificates and business licenses.
  • Keep the corporate compliance calendar and send deadline reminders to stakeholders.
  • Prepare and track contract execution (e-signature workflows, signed copies, renewal dates).
  • Support vendor onboarding (W-9s, certificates of insurance) and year-end 1099 preparation.
  • Support HR recordkeeping: I-9 files, employment verifications, unemployment and workers' compensation notices.
  • Assist with audit and due-diligence document requests.
  • Handle notarization, apostilles and certified copies as needed.
  • Do ad hoc administrative and research tasks for the CFO


Requirements:

2+ years as a paralegal or in corporate administration

Paralegal certificate preferred

NY notary commission preferred

Strong organization and discretion

MS Office and e-signature tools

Ukrainian or Russian language skills are a plus

Additional Comments:
3,000 USD is for 20 hrs per week. About 20 hours/week, with additional hours during peak periods (Q4 and January) Slavic immigrants with some experience are very welcome (don't say this in the add - but add that Russian or Ukrainian language is a plus) We need someone who can be physically present at the office in NY at least once a week
