Position Overview:

As a Service Coordinator, you will be the primary point of contact for customers from Poland and Lithuania, managing their service inquiries, coordinating repair and maintenance appointments, and ensuring smooth communication between customers, dealerships, and internal teams. Your role is essential in maintaining customer satisfaction and ensuring efficient service delivery.

This is a hybrid position, allowing you to work 2 days in the office in Ghent and 3 days remotely, offering flexibility while still fostering teamwork and collaboration.

Key Responsibilities:

  • Handle incoming inquiries from Polish- and Lithuanian-speaking customers, responding to service requests, scheduling appointments, and addressing any issues or complaints.
  • Coordinate repairs, maintenance, and service schedules between customers and dealerships.
  • Ensure consistent communication between customers, service teams, and dealerships, keeping all parties informed.
  • Manage and track the status of service requests, ensuring they are completed in a timely manner and that customers are satisfied with the service.
  • Follow up with customers after services are completed to ensure their satisfaction.
  • Escalate complex issues to the appropriate internal departments for resolution.
  • Provide customers with regular updates on the status of their service requests.
  • Maintain accurate records of customer interactions and service history in the CRM system.
  • Work closely with internal teams to improve service processes and address customer feedback.

Qualifications:

  • Fluency in Polish and Lithuanian (both written and spoken) is essential.
  • Prior experience in customer service, service coordination, or a related field is preferred.
  • Strong communication and interpersonal skills with a focus on delivering exceptional customer experiences.
  • Ability to manage multiple tasks and prioritize in a fast-paced environment.
  • An interest in or experience with the automotive industry is a plus but not required.
  • Proficiency in CRM systems and general office software (Microsoft Office: Word, Excel, Outlook).
  • Attention to detail, organizational skills, and the ability to work both independently and as part of a team.
