Position Overview:

In the role of Service Coordinator, you will be the key liaison between our customers, service teams, and dealerships. You will handle service inquiries and requests from Polish- and Czech-speaking clients, ensuring effective coordination of repair and maintenance appointments. This role requires strong communication, organizational skills, and a dedication to ensuring customer satisfaction.

This position offers a hybrid work arrangement, allowing you to work 2 days in the office in Ghent and 3 days remotely, providing both flexibility and the chance for close collaboration with your team.

Key Responsibilities:

  • Act as the primary contact for Polish- and Czech-speaking customers, managing inquiries, scheduling service appointments, and resolving any issues or complaints.
  • Coordinate repair and maintenance activities with dealerships and service providers.
  • Maintain clear and consistent communication between customers, service teams, and other departments.
  • Oversee and track the progress of service requests, ensuring they are resolved promptly and follow-ups are conducted.
  • Check in with customers after services to confirm their satisfaction and address any additional concerns.
  • Escalate complex or unresolved issues to the appropriate internal teams for resolution.
  • Provide regular updates to customers about the status of their service requests.
  • Keep detailed records of customer interactions, service histories, and feedback in the CRM system.
  • Collaborate with internal teams to suggest improvements based on customer feedback.

Qualifications:

  • Fluency in Polish and Czech (both written and spoken) is required.
  • Previous experience in customer service, service coordination, or a similar role is preferred.
  • Strong communication skills with the ability to build and maintain positive customer relationships.
  • Excellent organizational skills, with the ability to handle multiple service requests efficiently.
  • Experience in or a passion for the automotive industry is advantageous but not essential.
  • Proficiency with CRM systems and general office software such as Microsoft Office (Word, Excel, Outlook).
  • A problem-solving mindset, capable of thriving in a fast-paced environment.
