Role Purpose

They are looking for an energetic and detail-oriented Office Manager to oversee office operations and enhance the workplace experience. This role is pivotal in ensuring smooth daily functions, managing administrative processes, and fostering a positive work environment.


Main Objectives

  • Ensure the efficient functioning of office operations to support a productive work environment.

  • Provide administrative and operational support to employees and visitors.

  • Maintain strong relationships with vendors and service providers to ensure high-quality office management services.


Responsibilities

  • Office Operations Management: Oversee daily office activities, ensuring a well-maintained, organized, and efficient workspace.

  • Administrative Support: Serve as the primary point of contact for office-related matters, managing facilities, maintenance, and supplies.

  • Employee and Guest Experience: Welcome visitors, manage front desk responsibilities, and support internal events and meetings.

  • Vendor and Service Provider Management: Maintain and manage relationships with external vendors, including building management and cleaning services.

  • Financial Administration: Handle office-related financial matters, including petty cash management and expense tracking in coordination with the Finance team.

  • Mail and Shipping Coordination: Manage incoming and outgoing mail, ensuring timely distribution and notifications.

  • Supplies and Inventory Management: Monitor and replenish office supplies to maintain a well-stocked workplace.

  • Employee Support: Act as a key point of contact for local and visiting employees, ensuring a seamless work environment.


Requirements

Education & Qualifications

  • Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.

Professional Experience

  • Minimum of 3+ years in office administration, facilities management, or a similar role.

  • Strong ability to multitask, prioritize, and problem-solve in a fast-paced environment.

  • Experience handling financial administration and vendor management.

Technical Skills

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Familiarity with office management tools and systems.

Nice-to-Have Requirements

  • Experience working in a multinational company.

  • Background in managing workplace experience and employee engagement initiatives.

  • Knowledge of procurement and contract management.
