About the Role
We have partnered with a team of professionals providing Mobile Physiotherapy, Podiatry, Speech Pathology and Occupational Therapy (coming soon) services to Melbourne, Geelong and Brisbane. As an Admin Support (Client Services), you will ensure a great customer experience by handling inbound and outbound calls, email management, communicating solutions, and coordinating with schedule changes. You'll also maintain accurate customer data and support the company's commitment to quality health care service.

What you'll be working on
- Handle inbound and outbound phone calls
- Manage emails
- Conduct client intake and act as a liaison for scheduling and rescheduling
- Input data accurately
- Maintain a daily diary
- Fill appointment gaps for the following day (including missed or canceled/rescheduled appointments).
- Send confirmation reminders via text and phone calls
- Prepare NDIS treatment plans for SAG and SOS
- Ensure all necessary information is on file to complete tasks if received by practitioners
- Provide daily mobile support to practitioners during clinical hours and administrative support
- Ensure the diary is prepared for confirmations three days in advance.
- Keep private, EPC, DVA, and TCA forms up to date.
- Maintain accurate electronic filing and ensure all files are current.
- Utilize cloud-based communication for the team.
- Liaise with NDIS support coordinators and HCP case managers.
- Input data as needed.
- Manage private client invoicing and payment two days prior to appointments.
- Process purchase orders for initial appointments only.
- Update support coordinator and case manager information in all files.
- Handle Proda/pace NDIA service requests.
- Manage deeds for clients with a public advocate.
What we're looking for
- Open to Fresh Graduates but medical experience and professional background is an advantage.
- Strong organizational and administrative skills
- Attention to detail and good communication skills
- Empathetic and Responsible.
- Ability to work independently and grow professionally
