The ideal candidate should be adept at handling phone calls, managing administrative tasks, and proficient in using QuickBooks for financial management. This role requires someone who can thrive in a dynamic environment, prioritize tasks effectively, and maintain a high level of professionalism.
**Responsibilities:**
1. **Administrative Management:** Efficiently manage all office administrative tasks, including filing, data entry, scheduling, and document management.
2. **Phone Call Management:** Handle incoming and outgoing phone calls, directing inquiries to the appropriate departments or personnel. Provide excellent customer service to clients, suppliers, and other stakeholders.
3. **Financial Management:** Utilize QuickBooks to manage financial transactions, invoicing, accounts payable and receivable, payroll, and monthly financial reports.
4. **Office Organization:** Keep the office well-organized and stocked with necessary supplies, ensuring a smooth workflow for all employees.
5. **Records Maintenance:** Maintain accurate and up-to-date records of office expenses, purchases, contracts, and other relevant documents.
6. **Human Resources Support:** Assist with basic HR tasks such as onboarding new employees, managing time-off requests, and maintaining employee records.
7. **Vendor Coordination:** Liaise with vendors and suppliers to ensure timely deliveries, negotiate contracts, and maintain positive working relationships.
8. **Calendar Management:** Coordinate appointments, meetings, and events for executives and team members as needed.
9. **Facilities Management:** Oversee the maintenance and organization of office facilities and equipment, coordinating repairs and replacements when necessary.
10. **Team Support:** Collaborate with various teams to support their administrative needs, fostering a positive and productive work environment.
11. **Process Improvement:** Identify areas for efficiency improvements and implement streamlined office processes.
12. **Compliance and Regulations:** Ensure the office complies with all relevant industry regulations and company policies.
**Qualifications:**
1. Proven experience as an Office Manager or in a similar administrative role within a fast-paced office environment.
2. Familiarity with QuickBooks or other accounting software is essential.
3. Previous experience managing small offices within the construction, landscape, or industrial sectors is highly preferred.
4. Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
5. Excellent communication and interpersonal skills, with a customer-centric approach.
6. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint).
7. Ability to work independently and as part of a team, handling responsibilities with minimal supervision.
