About the job IT Administration Officer

Primary Focus

The I.T Administration Officer’s role is to request, organise and process a range of I.T services and documents for the Client.

This is done while working amongst a team of IT Administration Officers by retrieving our customers’ requirements and contacting our vendors to organise the relevant services.

The officer is also responsible for retrieving, maintaining and processing documents related to various IT services, accounts, invoices, job sheets, expenses and licensing.

Reporting directly to IT Vendor Manager the officer will need to ensure responsibilities are completed successfully and delivered in full.

 

Key Responsibilities

  • Order and maintain records of telecommunication and data services
  • -          Telephone, Cellular, FAX, NBN, Fibre, ADSL
  • Ensure all IT accounts are paid in full and on time
  • -          Retrieve, record and process IT Invoices
  • -          Communicate with vendors when required
  • Maintain store locator system, application licenses
  • Process management requirements
  • -          Expense forms, Travel, Accommodation, Meetings
  • Evaluating and processing of external documentation
  • -          Change of Ownership forms

Maintain purchases made by the department and adhering to payment terms and conditions

 

Teamwork and Relationships

  • Work closely with other IT department teams and various departments internally to deliver exceptional services across the business
  • Establish and maintain strong relationships with all stakeholders of the business and vendors
  • Demonstrate great teamwork and foster positive communication with all colleagues
  • Promote and demonstrate a ‘can do’ attitude

 

General Responsibilities

  • Provide quality information to the IT Operations Manager in all areas of responsibilities
  • Aid assistance and support to other team members in performance of their roles and responsibilities
  • Act in accordance with all policies, procedures practices and guidelines
  • Take all reasonable care for your own and others safety and wellbeing
  • Always maintain the highest standard of privacy and confidentiality

 

Qualifications, Experience and Skillsets

  • Demonstrated focus on customer service excellence
  • Excellent telephone manner and language communication skills 
  • Basic understanding of IT infrastructure and technologies
  • Completion of Year 12 (VCE) preferred
  • Certificate in Business Administration highly regarded
  • Skilled in MS Excel (populating and maintaining spreadsheets)
  • Demonstrated high degree of self-motivation
  • Must possess strong written and verbal communication skills
  • Highly organized and with an ability to priorities and multitask
  • A preparedness to take the initiative and a strong desire to achieve results
  • Excellent analytic skills and the ability to make major decisions
