DUTIES AND RESPONSIBILITIES:

Front Desk

  • Provides front desk coverage and greets and welcomes guests as soon as they arrive at the office.
  • Ensure office security by following safety procedures and managing visitor access (logbook and follow-ups).
  • Answer incoming and calling forward ; taking messages and redirecting calls as required.
  • Support all teams for mailing/courier to receive documents / goods and other deliveries. Including filling out any paperwork necessary for goods after receipt and ensuring no damaged items.

Office Administration

  • Report and follow up on office maintenance or repair issues with building management.
  • Coordinate with the housekeeper for cleaning areas.
  • Arrange the meeting room and equipment ready to work.

  • Coordinate and support internal activities and employee engagement events, such as monthly team events, employee activities, or company celebrations.
  • Perform other duties as assigned.


KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficiency with Microsoft Office (Excel, Word, PowerPoint) and Google tools.
  • Excellent communication and interpersonal skills for phone calls, writing capability for correspondence that needs to be sent internally and externally, and strong listening skills to follow instructions.
  • Strong organizational and multitasking abilities.


EDUCATION AND EXPERIENCE:

  • At least 1 year of experience as a Receptionist, Administrative or in a similar role.


WORKING CONDITIONS & SPECIAL REQUIREMENTS:

  • Working office onsite 5 days a week (09:30 - 18:30)
