Job Description: Administrative Coordinator

Client: Faith-based organization (church)
Reports to: Executive Pastor
Schedule: Per company policy, plus on-call as needed
Compensation: DOE, paid semi-monthly
Type: Full-time

Role Summary
Provides primary administrative and clerical support for the campus, managing the master calendar, meetings/events, and third-party interactions (vendors, rental clients, visitors). Keeps direct supervisor briefed on significant issues and is responsible for maintaining campus facilities at a high standard of excellence.

Key Responsibilities

  • Manage phone line and inbox, responding to time-sensitive items and using brand-approved templates for email communications.
  • Coordinate and manage campus event/space rentals, responding promptly to inquiries.
  • Check in and check out campus visitors (ID verification, visitor badges, calendar logging) during office hours.
  • Ensure facilities are unlocked, prepped, and ready ahead of scheduled meetings and events per checklist procedures.
  • Receive, sort, and route incoming mail/packages, notifying recipients of arrival.
  • Prepare executive and leadership meeting rooms/offices for scheduled on-campus meetings.
  • Complete weekly facility and calendar audits (cleaning standards, event flow checklists, calendar accuracy).
  • Process member/attendee documentation requests as needed (e.g., certificates), coordinating signature and pickup logistics.
  • Ensure all campus events run on time, efficiently, and to a high standard per approved plans.
