Job Summary

CNS Group is seeking a highly organized Administrative Officer to support daily office operations within the Travel, Mobility & Logistics industry. The role involves managing documentation, maintaining records, assisting operational teams, and ensuring efficient administrative processes. The ideal candidate should be detail-oriented, professional, and capable of handling administrative tasks efficiently.

Key Responsibilities

  • Provide day-to-day administrative and office support.
  • Maintain physical and electronic filing systems and document control processes.
  • Perform accurate data entry including invoices, client records, and operational data.
  • Prepare letters, reports, and internal documentation as required.
  • Maintain up-to-date client and supplier records.
  • Support finance functions including invoice preparation, payment follow-ups, and reconciliation assistance.
  • Assist in maintaining proper filing of contracts, LPOs, invoices, delivery notes, and payment tracking documents.
  • Respond professionally to emails, phone calls, and client or supplier inquiries.
  • Coordinate effectively with operations teams, drivers, management, and corporate clients.
  • Ensure compliance with company policies and internal document control procedures.
  • Maintain confidentiality of sensitive company information.
  • Support preparation of compliance documentation for tenders, corporate clients, audits, and internal reviews.

Qualifications

  • Diploma or Bachelors Degree in Administration, Office Management, or a related field
  • 0–1+ years experience in an administrative or office support role
  • Experience in a service-based organization is preferred
  • Exposure to invoicing, data entry, or operational support is an added advantage
  • Strong filing, record-keeping, and document control skills
  • Proficiency in Microsoft Word and Excel
  • Comfortable using email systems and shared folders
  • Ability to prepare reports and internal documentation accurately
  • Good verbal and written communication skills
  • Ability to work independently with minimal supervision
  • High level of organization, attention to detail, and timeliness
  • Strong integrity, professionalism, and confidentiality
  • Team-oriented mindset with willingness to learn and grow
