Job Summary

We are seeking a highly organized, hands-on and results-oriented Project Manager to oversee the day-to-day operational coordination of a major logistics infrastructure project.

The successful candidate will be responsible for coordinating activities across contractors, consultants, project team members, financial institutions, insurance providers, suppliers and other relevant stakeholders to ensure that the project progresses efficiently, on schedule and in accordance with agreed requirements.

This is a highly hands-on role requiring a candidate who is comfortable being actively involved in the day-to-day running of the project, following up on multiple workstreams, maintaining proper records and ensuring that commitments and deadlines are consistently followed through.

Key Responsibilities

  • Coordinate and oversee the day-to-day operational activities of the project.
  • Liaise with contractors, consultants, suppliers, project team members and other stakeholders to ensure smooth project execution.
  • Coordinate with banks, insurance companies, government authorities and other external service providers on matters relating to the project.
  • Monitor project activities, deliverables, timelines and outstanding actions, ensuring that matters are followed up and resolved promptly.
  • Organise and participate in project meetings, prepare meeting agendas and minutes, and maintain an effective action-tracking system.
  • Follow up with contractors and service providers on progress, deliverables, documentation and outstanding requirements.
  • Maintain comprehensive and accurate project records, correspondence, contracts, reports, approvals and other documentation.
  • Prepare regular project updates, reports, presentations and other management information as required.
  • Assist in monitoring project costs, commitments, payments and supporting documentation.
  • Ensure that project documentation is properly filed, updated and readily accessible.
  • Identify operational challenges, delays and potential risks and escalate them to management in a timely manner.
  • Maintain effective communication between all project stakeholders and ensure that information is communicated accurately and promptly.
  • Undertake site visits and other hands-on follow-up activities as required.
  • Perform any other duties reasonably required to ensure the effective implementation and operation of the project.

Qualifications & Experience

  • Bachelor’s degree in Transport & Logistics, Supply Chain Management, Business Administration, Project Management, Operations Management or a related field.
  • Minimum of 5 years’ relevant professional experience, preferably within the transport, logistics, port, terminal, freight, infrastructure or related industries.
  • Experience or familiarity with port, depot, terminal or other logistics operations will be highly advantageous.
  • Experience in project coordination, operations management or administration of large-scale projects is preferred.

  • Strong written and verbal communication skills. Fluency in both English and Swahili.
  • Strong stakeholder management and interpersonal skills.
  • Ability to work independently, take initiative and proactively follow up on outstanding matters and ability to work under pressure and meet deadlines.
  • Strong problem-solving and decision-making abilities.
  • Proficiency in Microsoft Office, particularly Word, Excel and PowerPoint.
  • Ability to prepare clear reports, presentations, correspondence and project documentation.
  • Strong integrity, accountability and professional judgement.
