Quick Rundown:
We are seeking a dedicated and detail-oriented Admin Support & Coordinator to act as the operational backbone of our promotional products business. This role is designed for a "process-first" thinker who can replicate and document critical administrative functions to ensure no order stalls and no supplier communication is missed.
You will be responsible for managing the "administrative friction" of the business, specifically the bridge between Sage and QuickBooks, allowing the owner to focus entirely on sales and brand growth.
What You'll Do:
Order Transition & Documentation: Replicate the owner's current workflow from Sales Order (Sage) to Invoice (QuickBooks). You will be tasked with documenting these steps into a standardized SOP.
Supplier Liaison & Follow-up: Take full ownership of the "Purchase Order Lifecycle." This includes issuing POs, confirming supplier acknowledgments, and proactively monitoring for potential delays (including managing dedicated folders to ensure no communication is missed).
Proof Coordination: Manage the back-and-forth of artwork proofs between suppliers and clients. Ensure revisions are handled swiftly and approvals are secured to keep production on schedule.
Invoicing & Data Integrity: Ensure all Sage data translates accurately into QuickBooks for client invoicing. Maintain a clean "paper trail" for every project from inception to delivery.
Administrative "Traffic Control": Act as the central point of contact for administrative inquiries, freeing the owner from manual backend tasks.
What We're Looking For:
3–5 years in high-volume administrative coordination or project management; experience in promotional products or print is a plus.
Process-driven with a focus on accuracy and error prevention.
Knowledgeable with industry software (Sage) and accounting platforms (QuickBooks).
Strong, professional English communication for client and supplier interactions.
Ownership mentality with attention to detail and commitment to completing tasks fully.
