Summary:

The Executive Administrative Assistant will primarily focus on scheduling tasks to ensure smooth and efficient operations. In addition, this role requires a highly organized, proactive, and adaptable individual who will handle various administrative responsibilities to support the executive and management team.

Responsibilities:

Scheduling:

  • Input new clients into the Electronic Medical Records (EMR) system

  • Schedule and staff for all patients, ensuring optimal coverage and care

  • Track and monitor pending referrals and start of care. 

  • Receive and respond to inbound client, family member, and field team call inquiries

  • Collect and review client needs to support ongoing and new scheduling requirements, leveraging clinical skillset and scheduling database for support

  • Promote quality, continuity, and safety of a client's care by adhering to quality standards

Administrative Support:

  • Provide administrative support to the executive and management team in various aspects of the business

  • Prepare and edit correspondence, reports, and presentations

  • Assist in organizing company events, meetings, and appointments

  • Perform general administrative tasks such as data entry, filing, and document management

  • Handle confidential information with discretion and professionalism

  • Prepare and maintain accurate records, reports, and documentation

  • Assist with project management and coordination of special projects as needed


Qualifications:

  • Proven experience as an Administrative Assistant or in a similar administrative role

  • Technologically proficient and adaptable to various software applications with minimal training

  • Strong written and verbal communication abilities

  • Experience in Sales or Customer Support is a plus

  • Excellent organizational and time management skills

  • Proficiency in Microsoft Office Suite and other relevant software

  • Ability to multitask and prioritize tasks effectively

  • High level of professionalism and attention to detail

  • Flexibility and adaptability to take on different roles as needed
