Summary:

We are seeking a highly organized and detail-oriented Office Coordinator to oversee the daily operations of our construction office. The successful candidate will manage administrative tasks, coordinate office activities, and support project teams to ensure smooth workflow. This role is critical to maintaining effective communication, ensuring compliance with company procedures, and providing support to management and construction staff.

Responsibilities:

  • Manage day-to-day office operations, including scheduling, filing, and organizing project-related documents

  • Serve as the primary point of contact for office inquiries, answering phone calls and emails

  • Coordinate meetings, appointments, and travel arrangements for project managers and executives

  • Maintain office supply inventory, ordering materials as needed, and ensuring a clean and well-organized office environment

  • Assist with the preparation and tracking of project documentation, contracts, permits, and licenses

  • Liaise with subcontractors, suppliers, and clients to facilitate communication and resolve inquiries

  • Ensure all safety protocols and regulatory requirements are up to date and documented.

  • Assist with the coordination of on-site project logistics, including deliveries, inspections, and equipment rentals.

  • Maintain confidential and accurate employee records, including training certifications and compliance documents


Qualifications:

  • Proven experience as an Office Coordinator or similar administrative role in the Construction Industry is a must.

  • Strong organizational and multitasking skills, with attention to detail

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with construction management software

  • Excellent communication and interpersonal skills, with the ability to work with diverse teams

  • Ability to prioritize tasks and work independently in a fast-paced environment

  • Knowledge of construction industry processes, terminology, and regulatory requirements is a plus

  • Familiarity with construction project documentation

  • Experience working with subcontractors, vendors, and clients

  • Understanding of safety standards and compliance in the construction industry
