We are seeking a highly organized and proactive Executive Assistant (Healthcare) with a strong background in healthcare, recruiting, and scheduling. This role involves supporting executive leadership, managing recruitment pipelines, and ensuring seamless scheduling operations. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional communication skills, and maintain a high level of professionalism.
What You'll Do:
- Recruiting Assistance:
Coordinate and manage the recruitment process, including posting job openings, screening resumes, and scheduling interviews
Maintain and update candidate pipelines in the applicant tracking system (ATS)
Communicate with candidates to coordinate interviews and follow-ups
Collaborate with hiring managers to ensure a smooth recruitment process
- Scheduling and Coordination:
Organize and maintain detailed schedules for staff and clients
Ensure efficient allocation of resources to meet organizational needs
Coordinate with healthcare professionals to arrange patient appointments and staffing schedules
- Administrative Tasks:
Handle email correspondence and respond to inquiries on behalf of the executive team
Create and maintain detailed records, databases, and spreadsheets
Assist with other administrative tasks as needed
What We're Looking For:
Proven experience as an Executive Assistant, Virtual Assistant, or similar role
Excellent organizational and time management skills
Strong written and verbal communication skills
Proficiency in using scheduling and project management tools
Ability to multitask and prioritize effectively in a dynamic environment
High level of professionalism and discretion
Preferred Qualifications (a Plus):
Experience in recruitment or talent acquisition
Background in healthcare administration or coordination
Familiarity with healthcare software and systems
Knowledge of applicant tracking systems (ATS)
Experience coordinating with healthcare professionals and managing staffing schedules
Advanced proficiency in Microsoft Office Suite and CRM platforms
