Quick Rundown:
The role involves managing merchandise orders and inventory for corporate programs by maintaining accurate product setups, forecasts, and purchase orders in a computerized inventory system. Responsibilities include ensuring appropriate inventory levels, achieving optimal turnover ratios, and communicating with suppliers to resolve disputes, claims, and returns. The role also entails inputting detailed inventory specifications, processing invoices and credit memos, expediting shipments, and addressing vendor inquiries. Monitoring vendor performance, reporting stock exposures, and collaborating with program managers are critical, alongside ensuring accuracy in pricing, forecasts, and order entry. Additional duties may be assigned to support operational efficiency.
What You'll Do:
Order merchandise, maintain and set up products in computer, maintain product forecast, process drop ship orders for all Corporate Programs administered by the client, and apply continuous improvement tools and concepts.
Process time sensitive new inventory stocking purchase orders in the computerized inventory management system.
Maintain appropriate inventory for all catalog programs, including setting and monitoring Inventory levels/projections, inventory forecasts, purchase suggestions, and stock-outs.
Achieve proper inventory turn ratios and communicating status to Program
Administrators and management. Develop clear purchase order information going to suppliers in order to limit responsibility in claim situations.
Initiate claims for Drop Ship orders by providing information to the Total Care Team defining the dispute. Handle claims directly for stocking orders by negotiating with production partners to resolve to the satisfaction of both parties.
Initiate return to supplier orders and process invoices and credit memos following proper accounting practices.
Input all inventory item specifications, including item numbers, vendor, price, shipping information, commissions, cost, forecast, and extended information into computerized inventory management system.
Maintain records and perform necessary adjustments to price information, inventory, forecast, and commission levels for order entry accuracy.
Provide information regarding purchase orders to Shipping Follow-Up that need to be expedited. Review and monitor outstanding purchase orders for adjustments to product setups. Respond to vendor questions on purchase order inquiries as they relate to purchase order specifications, logo instructions and artwork.
Direct all questions of unavailable vendor stock to the Program Manager and management team. Monitor and report any exposure on inventory above client commitment level.
Track and report unsatisfactory vendor performance in the areas of meeting delivery dates and product quality to management.
Perform other related duties as assigned.
What We're Looking For:
Duties require computer proficiency and math skills equivalent to 4 years of high school.
knowledge of specialized computer software and inventory maintenance,recordkeeping and forecasting.
Need someone with statistical analysis knowledge equivalent to 2 years of college.
It requires one year of related experience in inventory processing.
Independent decision making based on analysis of computer inventory reports and purchase suggestions.
