Position Title: Production Coordinator

Schedule: 4:00 PM to 1:00 AM PH Time
Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga
Quick Rundown:
We are looking for a Production Coordinator to manage customer orders. The role involves sending and verifying order acknowledgments, coordinating artwork approvals, and ensuring supplier and customer communication.
What You’ll Do:
Receive and clarify customer order instructions from the Coordinator
Update CRM quote with final order details (PO no./delivery date/delivery address) and convert quote
Make necessary amendments in Sage to correct SO and PO(s) for clothing orders and other anomalies after conversion
Send Order Acknowledgement to customers for checking
Send Purchase order to Supplier(s) along with artwork if available at the time of order
Receive order acknowledgments from suppliers and cross-check against our PO to ensure accuracy in details such as price, quantity, delivery date, etc
Liaise with the Coordinator and supplier to resolve any discrepancies
Chase customers for artwork in a timely manner if not sent with the PO, as requested by the supplier
Chase supplier for artwork proof if not supplied within the usual timeframe
Coordinate with customers and suppliers to ensure artwork proof is approved by the required deadline
Provide necessary booking details to suppliers before goods are dispatched
Regularly follow up with suppliers to ensure orders are on schedule and dispatched in time
Maintain ongoing communication with the Coordinator to keep them informed of the progress of customer jobs
Seek assistance from the Coordinator for responding to supplier/customer queries that require their involvement
Confirm job dispatch and inform the Coordinator by sending them the order acknowledgement with the actual dispatch date. This enables them to complete the GP sheet, invoice the job, and close the job on CRM
Ensure all necessary communications throughout the process are filed within CRM to provide a complete record of the job
Assist in the training of new Production Coordinators
What We’re Looking For:
At least 1 year of relevant or related experience required
Exceptional attention to detail with strong communication skills, both over the phone and via email
Proven ability to multitask effectively in a fast-paced environment
Must achieve industry certification at the AS (Advertising Specialist) level and internal certification in Continuous Improvement (CI) within designated timeframes
Office administration experience is a plus.
