Position Title: Assistant Program Coordinator

Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga
Quick Rundown:
This role involves creating and managing customer records, assisting website users, and providing support for tracking, order updates, and freight quotes. Responsibilities include processing gift certificates, vendor quotes, and promotional product updates while ensuring accuracy and timely follow-ups. The position also handles order cancellations, claims for defective merchandise, and correspondence regarding product availability or backorders.
What You'll Do:
- Create and update customer records, and upload budgets as needed
- Assist website users with password resets and account unlocks
- Communicate with customers regarding order tracking and status updates
- Provide freight quotes for international shipments
- Process gift certificates, coupons, and promotional product updates
- Request and review vendor quotes for accuracy and timeliness
- Support web, art, and inventory tasks as needed
- Manage order cancellations, maintenance, and order entries
- Open claims for defective or damaged products
- Send templated emails to customers for backorder or product availability updates
- Utilize the POFU system to track and confirm all purchase orders
- Address customer inquiries and collaborate with vendors and Distribution Center as necessary
- Assist Corporate Program Staff with product sourcing, quoting, and sample orders
- Upload product assortments and ensure website content is accurate
- Gather data, prepare reports, and assist with clerical duties as required
- Ensure follow-up actions with customers and vendors are timely and deadlines are met
- Perform other related duties as assigned
What We're Looking For:
- 1-2 years of experience in customer service, relationship management, or account management
- Strong proficiency in math, writing, and computer skills (equivalent to 2 years of college)
- Experience with databases and spreadsheets preferred
- Ability to achieve CAS (Certified Advertising Specialist) and CIP (Continuous Improvement Practitioner) certifications within specified timeframes
