Summary:

The Order Entry Specialist role will be primarily responsible for accurately entering orders into the system based on purchase orders received. This position will support the Decoration team by ensuring that all order details,including product specifications and decoration requirements, are correctly captured. A key component of this role is maintaining a high level of attention to detail to ensure orders are processed accurately and efficiently.



Responsibilities:

  • Review and enter purchase orders into the system, ensuring all product details, decoration specifications, and customer requirements are accurately recorded

  • Verify that all decoration-related information, including artwork approvals and customizations, is correctly entered into the order system

  • Maintain accurate and up-to-date records of customer orders, tracking any updates or changes to the order status

  • Ensure that all order changes (e.g., cancellations, modifications) are correctly reflected in the system

  • Provide administrative support to the team by preparing internal reports, tracking order progress, and following up on any internal order-related issues

  • Review and update order details to ensure alignment with customer specifications and decoration guidelines before final processing

  • Support inventory tracking for promotional products and decoration materials used in orders

  • Ensure accuracy in all order-related data for reporting and internal follow-up

  • Assist with additional clerical tasks as assigned to support the smooth operation of the department


Qualifications:

  • Bachelors degree in Business Administration or a related field, with 1-2 years of experience in order entry or administrative support

  • Proven attention to detail, with data entry and order processing experience, ideally in a production or administrative setting

  • Familiarity with order management systems, spreadsheets, and databases preferred

  • TAS (Trained Advertising Specialist) certification is a plus

  • Exceptional attention to detail and accuracy in handling large data volumes

  • Strong organizational skills and effective task prioritization

  • Proficiency in order entry systems, spreadsheets, and office software

  • Ability to multitask and manage multiple orders at different processing stages

  • Problem-solving skills for identifying and resolving order issues

  • Capable of maintaining accuracy in a fast-paced environment

  • Strong communication skills for routine interaction with internal teams
