Quick Rundown:
The Operations Manager oversees daily operations, ensuring efficiency, compliance, and excellent patient care. This role involves strategic planning, team management, process improvement, and cross-departmental coordination. The Operations Manager will lead teams, optimize workflows, manage budgets, and ensure compliance with healthcare regulations.
What You'll Do:
Operational Management:
Develop and implement strategies for efficient workflow and resource management.
Monitor KPIs, analyze performance, and drive process improvements.
Ensure compliance with healthcare regulations (HIPAA, OSHA).
Team Leadership:
Lead, mentor, and manage administrative and customer care teams.
Conduct performance reviews and provide coaching for skill development.
Manage team schedules to ensure adequate coverage and service quality.
Process Improvement:
Identify and resolve operational inefficiencies.
Optimize scheduling, patient intake, and administrative processes.
Implement best practices for cost management and productivity.
Budgeting & Resource Management:
Oversee departmental budgets, monitor expenses, and ensure cost control.
Allocate resources effectively to meet organizational goals.
Compliance & Regulatory Management:
Ensure all processes adhere to healthcare regulations (HIPAA, patient confidentiality).
Conduct regular audits to maintain compliance standards.
Reporting & Data Analysis:
Generate and analyze performance reports to identify improvement areas.
Provide insights and recommendations to leadership.
Customer Service & Patient Experience:
Ensure efficient scheduling and responsive customer support.
Address patient concerns and continuously improve service quality.
Technology & System Management:
Oversee the integration and optimization of scheduling and patient management systems.
Collaborate with IT to ensure system functionality and security.
Train staff on the use of operational tools and manage system upgrades.
Employee and Operational Scheduling:
Ensure optimal staffing levels to meet patient care demands.
Develop scheduling practices to maximize efficiency and reduce wait times.
Monitor adherence to shift rotations, break hours, and attendance policies.
Cross-Department Collaboration & Communication:
Collaborate with healthcare providers, administrators, and leadership teams to ensure seamless integration of operational processes.
Coordinate with scheduling and intake teams to ensure timely patient appointments.
Serve as a liaison between departments to resolve issues and enhance workflows.
Communicate operational challenges and strategic goals to leadership.
What We're Looking For:
Bachelors degree in Business Administration, Healthcare Management, or related field.
57 years of experience in operations management, preferably in healthcare.
Strong leadership, problem-solving, and communication skills.
Proficiency in healthcare management software and scheduling systems.
Knowledge of healthcare regulations (HIPAA).
Preferred Masters degree, Six Sigma, or Lean Management certification.
