Summary:
We are seeking a highly motivated and organized General Admin Virtual Assistant to join our team. This position will provide essential administrative support to our office operations while contributing to various tasks including caregiver recruitment, employee engagement, and social media management. The ideal candidate will be a self-starter with excellent communication skills, a proactive approach to problem-solving, and the ability to handle multiple responsibilities with efficiency.
Responsibilities:
- Client and Caregiver Support:
Answer incoming calls, schedule appointments, and provide excellent customer service
Address inquiries professionally and efficiently, ensuring a high level of client satisfaction
- Caregiver Recruitment and Screening:
Source potential caregivers through various platforms and channels
Conduct initial phone screenings to assess qualifications, experience, and interest
Maintain a database of qualified candidates for future staffing needs
- Social Media Management and Content Creation:
Assist with content creation for the "Reaching for the Stars" platform
Coordinate with the team to ensure timely and relevant scheduling of posts
- Employee Engagement:
Manage and schedule employee engagement posts on the "Reaching for the Stars" platform
Foster a positive, motivating atmosphere for staff
- Credential Management:
Oversee the credentialing process for field staff, ensuring compliance with company and regulatory standards
Track and update certifications, training records, and other necessary documentation
- Shift Time Reconciliation:
Assist with the reconciliation of shift times, ensuring accurate billing and payroll data
Coordinate with caregivers to ensure accurate reporting of shift times and resolve discrepancies
- General Administrative Support:
Provide high-level administrative support as needed, including organizing documentation, maintaining databases, scheduling meetings, and managing workflows
Qualifications:
High school diploma or equivalent required; Associate’s degree in a related field preferred
Previous experience in a medical office or healthcare environment is highly preferred
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent verbal and written communication skills
Experience with social media platforms, specifically scheduling and content creation, is a plus
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.) and other office software
Ability to maintain confidentiality and adhere to HIPAA regulations
A proactive, team-oriented attitude with a passion for supporting caregivers and clients
Additional Skills/Experience:
Familiarity with caregiver credentialing and healthcare compliance procedures
Experience with online scheduling tools or employee engagement platforms (e.g., "Reaching for the Stars") is a plus
Ability to thrive in a fast-paced environment with a focus on customer service
Proficiency in virtual collaboration tools (e.g., Google Suite, Zoom, Slack) and social media management platforms
Knowledge of caregiver recruitment processes and healthcare credentialing (preferred but not required)
Tech-Savvy: Familiarity with third-party platforms like "Reaching for the Stars" or similar employee engagement tools is preferred.
Experience in using scheduling tools and social media platforms for content posting (e.g., Hootsuite, Buffer, or others) is beneficial
